Queryfest, part XXII: if it be the winter of Millicent’s discontent, can spring be far behind?

Before I fling all of us headlong into yet another examination of what strategies do and do not work well on the query page — that’s why you tuned in tonight, right? — I’d like to take a moment to reiterate some advice I gave all of you eager New Year’s resolution queriers a couple of weeks back. Or, at least that hefty chunk of the January querying community that either lives in the United States, is planning to approach literary agents based in the United States, or both: no matter how tempting it may be to send out a query via e-mail over this long Martin Luther King, Jr., Day weekend, please, I implore you, resist the temptation.

“And why should I even consider taking that advice?” those of you joining us mid-Queryfest demand. “At the risk of pointing out the obvious, I have more spare time in the course of a three-day weekend than during the normal two-day kind. Why shouldn’t I hit SEND while I have the leisure to do it?”

Already, a forest of hands sprouts out there in the ether. I love how closely my readers pay attention. Go ahead and help me fill ‘em in, Queryfest faithful: just as our old pal and nemesis, Millicent the agency screener, is predictably greeted by many, many more queries on any given day in January, as opposed to any other month of the year, she also finds her inbox stuffed with more e-queries than usual on Mondays than any other weekday, for precisely the reason the newcomers just cited — aspiring writers tend to have more time to send them over the weekend. As a direct result, not only does she typically have more work on Mondays. And as she, like so many people bent upon enjoying their weekends, is often a mite grumpier that day as well.

With what result? Chant it with me, Queryfesters: the rejection rate tends to be higher on Monday mornings than, say, Thursday afternoons. Our Millie simply has a taller stack of queries to work through, without any extra time in which to do it. Fortunately for her sanity, while it’s pretty difficult to compress the amount of time it takes her to process a paper query — about 30 seconds, on average, or less if the querier is helpful enough to insult her intelligence with a hard-selling statement like you’ll be sorry if you pass this one up! or this is the next DA VINCI CODE! — it is spectacularly easy to render the consideration and rejection of an e-mailed query a matter of just a few seconds. Especially now that so many agencies have adopted the to-a-writer’s-eye appallingly rude practice of simply not responding to a query if the answer is no.

Not sure how to speed up the consideration process? Okay, I ask you: how much time would it take you to twitch the finger nearest the DELETE key in its general direction? And how much more likely would you be to do it on a morning when your bleary eyes fell upon 722 queries in your inbox than the happy day when it contained only 314?

So, at the risk of repeating myself, I ask you: do you honestly want your query to land on her computer screen on a Monday morning?

Sad to say, though, it could arrive at a worse time: the Tuesday following a three-day weekend. Due to the aforementioned tension between aspiring writers’ free time and the rhythm of her work week, we may also confidently predict that she will be inundated with still more e-queries then than she would on an ordinary Monday, right? Just after Labor Day, for instance, or Memorial Day, it requires very little imagination to picture just how itchy her fingertips are going to be for that DELETE key.

It thus follows as night the day, then, that when a three-day weekend happens to fall in January, the dreaded month when a good half of the aspiring writers in North America who intend to query this year will be hitting the SEND key if they are going to take the plunge at all, Millicent’s e-mail coffers and mail bag will be as full as she is ever likely to see them. Need I devote more screen space to the predictable effect upon the rejection rate the following Tuesday?

I’m guessing not, with a group as savvy as this. Hint, hint, wink, wink, say no more, as the immortal Eric Idle used to say.

Speaking of Millicent’s a.m. stress levels, mine hit a peak this morning, triggered by the gentle snowfall pictured above. Not that I am anti-snow in general; indeed, I typically find the first — and sometimes only — snow of the year quite exciting. It snowed a grand total of thrice in the Napa Valley in the course of my childhood; it was something of an event. I didn’t actually see large quantities wafting down from a grumpy sky until my junior year of high school, in the course of an ill-fated let’s-show-the-kids-how-Congress-works field trip during which I got pushed sideways over a chair because I was the only student participant who believed Social Security was worth saving. (Hey, it was the 80s. And my sprained ankle is fine now, thanks.)

So I was darned excited to look up from my desk this morning to see great, big white flakes hurtling at my window. I can only plead the fact that I happened to be editing a manuscript at the time as an excuse for what happened next.

My SO came tripping into my studio, bearing a hot cup of tea. “Have you looked outside? It’s a winter wonderland!”

“I should think it would be obvious,” I said, gratefully accepting the mug, “from the fact that I am sitting right next to a window that I might have observed the snow. And couldn’t you manage to come up with a less hackneyed way to describe it than winter wonderland?”

And that, dear friends, is what reading even quite good manuscripts for a living will do to an otherwise charming person’s manners: I am certainly not the only professional reader who automatically revises everyday speech in an attempt to raise its literary value. Imagine how much touchier I would be if I had Millicent’s job on a Monday morning.

Had I mentioned that you might want to think twice about hitting that SEND button this weekend? Wouldn’t your time be better spent building a snowman?

To be fair to both Millicent and myself, stock phrases, clichés, and stereotypes do abound in your garden-variety query, synopsis, and manuscript submission. So common are they that one might well conclude that there’s an exceptionally industrious writing teacher out there, working day and night to inculcate the pernicious notion that the highest goal of literary endeavor consists in stuffing narrative prose to the gills with the most repetitive, prosaic elements of everyday speech.

In a sense, that is sometimes the case: as many, many writers can attest, the continental U.S. has not suffered in the past half-century from a shortage of English teachers bent upon convincing their students that good writing should flow as easily as natural speech. The most visible results of this endeavor have been, as we have discussed before, a superabundance of chatty first-person narrators given to telling, rather than showing, the stories through which they lead their readers, a general disregard of subject/object agreement (presumably because the proper everyone and his Uncle George contracted rabies strikes the ear less gracefully than the pervasive but incorrect everyone and their Uncle George contracted rabies), and, most irritating of all to the professional reader corps, texts peppered with the kind of catchphrases and polite phrases that show up in conversation.

Why is that last one problematic? Well, think about it: by definition, the stock responses to common stimuli (pleased to meet you, have a nice day, I’m so sorry for your loss), standard phrases exchanged in mundane interactions (sign right here, have a nice day, may I help you?), and mere polite murmurings (after you, excuse me, you’re welcome) are generic; their strength — and their social safety — lies in the very fact that people spout these statements all the time. As such, they do not have personal content: although Madge may genuinely mean it when she tells Bernice to have a nice day, chances are that when she said precisely the same thing to Herbert, Bruce, Ambrose, and Melchior over the course of the following two hours, she did not utter it with the same intent. It’s just something people say.

We’re all aware of that conversationally, right? So why does it frequently come as a surprise to aspiring writers that because such phrases are so very common, they lack the power either to convey characterization, illuminate relationships, or add complexity to an interaction?

Not sure why? Okay, let’s assume that Madge’s co-worker, the otherwise estimable Ima, decides to immortalize their workplace’s everyday speech on the novel or memoir page. Eager to depict darling Madge as the courteous, considerate lady that she is, conscientious Ima makes darned sure to include each and every stranger-charming statement. Unfortunately, the result is not particularly likely to charm a reader, much less one as page-weary as Millicent. Take a gander at a not-atypical opening scene:

“Excuse me.” The tall, handsome stranger handed her his paperwork almost apologetically. “I was told to fill out these forms and bring them to this window.”

“Hello.” Deliberately, Madge finished reorganizing the paper clips in their magnetic holder before glancing at the stack. “How are you this fine Monday morning?”

“Oh, fine. Is this the right window for these?”

“Yes, of course. Hectic day?”

He covered his watch with his sleeve. “Oh, yes. We’ve been swamped.”

“Well, it’s always like that after a holiday.” She stamped the top three forms. “We’ve been swamped, too. Did you have a nice long weekend?”

“Yes. You?”

“It was fine. Didn’t they give you a B/49-J form?”

“Oh, yes, it’s right here. I’m in a bit of a hurry.”

“I’m doing my best, sir. May I see some I.D., please?”

“Okay.” Clearly, the man was accustomed to his smile’s having greater effect on functionaries. He could have posed for a toothpaste ad. “Here it is.”

“Thanks. Just a moment.” She tapped on her computer, frowning. “We don’t seem to have any record of your existence, Mr. Swain.”

“What do you mean?”

She caught just a glimpse of the tentacle wiping the perspiration from his brow. “I’m sure there’s just been a mix-up in the database. You just hang on for a moment, and I’m sure we can get this cleared up in a jiffy.”

Pretty stultifying until that last bit, wasn’t it? Even less excusable from Millicent’s perspective, the narrative didn’t give the slightest indication until that last paragraph that this is the opening for a fantasy. While this sort of bait-and-switch between the ordinary and the unexpected is a classic short story plotting strategy — not to mention the dominant storytelling technique of the old Twilight Zone series, which continues to influence fantasy writers to this day — the speed with which the sheer volume of submissions forces Millicent to read renders the mundanity of this dialogue dangerous. She would have to read all the way to the end of this exchange to see that it’s not just the 274th exchange echoing everyday speech that she’s read this week.

Lest anyone be tempted to dismiss her tendency to lump this interaction with all the others (including issuing the same cry of, “Next!”), note, please, just how little those polite, ordinary speeches reveal about either of the characters shown or the situation. This dialogue could take place in any customer service environment: in a bank, at the DMV, at the teleport terminal between Earth and the planet Targ. Because these statements are generic, they can’t possibly tell the reader anything specific. And while the writer and his writing group might well find that keep-‘em-guessing ambiguity hilarious, Millicent’s simply seen it too often to play along for very many lines.

Does the chorus of martyred sighs out there indicate that some of you Queryfesters are tiring of playing along as well? “Okay, I get it, Anne,” those of you impatient to get queries out the door moan, “dialogue on the page needs to be something better than just a transcript of everyday speech. Lesson learned. But why in the name of the seven purple moons of Targ did you decide to stop dead in the middle of a series on querying to tell us about this Millicent-irritant now?”

An excellent question, impatient moaners, and one that richly deserves a direct answer. Try this one on for size: since Millicent, like most professional readers, has an extremely low cliché tolerance, it’s poor strategy to include even one stock phrase in a query letter.

And yes, in response to what half of you just thought very loudly indeed (the mind acoustics are phenomenal here on Targ), she sees cliché-filled queries all the time. See for yourself — and, as always, if you are having difficulties reading the individual words, try holding down the COMMAND key and pressing + several times to enlarge the image.

Oh, you thought I was going to use a real reader’s query to illustrate this particular faux pas? That would have been a bit on the cruel side, wouldn’t it? Besides, given a readership as savvy, fascinating, and creative-minded as this one, where could I possibly have found a query as cliché-ridden as this one?

Actually, although it pains me to say it, about a quarter of the volunteer queriers submitted letters containing one or more of Ima’s hackneyed phrases; although our fictional exemplar here is inordinately fond of them, you’d be astonished at how many real queries contain roughly this ratio of stock phrase to original writing. Odd, isn’t it, considering that as every syllable an aspiring writer sends an agency is a writing sample (you hadn’t been thinking of your query in those terms, had you?), that so many queriers would rush to make themselves sound exactly like everyone else?

Incidentally, about one in six of the queries I received from would-be volunteers also replicated a particular phrase in Ima’s letter — and that surprised me, because this all-too-common statement contains two elements that I frequently and vehemently urge Author! Author! readers not to include in their queries at all. Did you catch it?

No? Would it help if I mentioned that at most agencies, one of the deadly elements would render this query self-rejecting?

If your hand shot into the air at that last hint because you wanted to shout, “I know! I know! It’s because Ima said in the first paragraph that every reader currently walking the planet Earth — if not the planet Targ — would be interested in this book! From Millicent’s perspective, that’s a completely absurd claim, as no book appeals to every reader,” give yourself a pat on the back, but not a gold star. Yes, this particular (and mysteriously popular) assertion does tend to irritate most Millicents (especially on the Tuesday after a long weekend, when she will see many iterations of it), but it’s not always an instant-rejection offense.

No, were that boast the only faux pas here, Millicent probably would have kept reading until after the third or fourth unoriginal phrase. I seriously doubt, though, whether she would have made it past Ima’s first sentence. Any guesses why?

If your eye immediately pounced upon the phrase complete at 137,000 words, feel free to ransack the gold star cabinet. Why is this phrase — lifted directly from some maddeningly pervasive template floating around out there on the Internet, I gather — a rejection-trigger? It’s not, believe it or not, the fact that so many aspiring writers have been shoehorning it into their queries in recent years that it has effectively become a cliché, as far as Millicent is concerned. The real problem with it that it effectively bellows at Millicent, “Hey, lady — this querier does not know thing one about how books are sold in the U.S.”

An unfairly sweeping conclusion? Perhaps, but let’s don Millicent’s glasses and whip out her text-dissecting scalpel to figure out why she might leap at it. In the first place, this statement includes unnecessary information. If the book being queried is fiction, people in agencies will assume that the manuscript is complete, for the exceedingly simple reason that it would be impossible for a first-time, non-celebrity writer to sell an incomplete first novel. Fiction is sold on a completed manuscript, period.

Nonfiction is typically sold on a book proposal, not a full manuscript, so were Ima’s book a memoir, including the information mentioning that the manuscript is complete would not necessarily be a selling point, either. The only exception: the relatively rare nonfiction-representing agency that states point-blank in its submission requirements that it will consider a first memoir only if the writer has already completed a draft of it.

Why might they harbor that preference? Ask any memoirist: writing truthfully and insightfully about one’s own life is hard, doubly so if the life in question has been at all traumatic. The brain and the body often doesn’t make a huge distinction between living through something difficult and reliving it vividly enough to write about it explicitly and well. It’s not at all unusual for even an exceptionally talented writer to become heavily depressed, or even physically ill, in the course of fulfilling a contract for a memoir.

Since most of pulling together a proposal involves writing about the book’s subject matter, rather than writing the story from within — telling what happened, as opposed to showing it clearly enough that the reader feels as though she’s walking around in the narrator’s skin — many first-time memoirists worry, and rightly, that they might not have the emotional fortitude to finish the book. Others are stunned to discover that after months or years of effort aimed at landing an agent and selling the book concept to a publisher, they simply cannot bring themselves to complete it. Or, if they do, they balk at exposing their innermost secrets to the world.

There’s absolutely no shame in any of that — second thoughts are natural in this instance. However, an agent who has seen a pet project cancelled at the last minute because a client could not finish the book he was contracted to deliver might well become wary about running into the same problem in future. So while agencies that handle a lot of memoir tend to get inured to this sort of disappointment, it’s not at all unheard-of for a newly-burned agent or agency to establish a full manuscript-only policy.

Most of the time, though, that’s not the expectation; publishers buy memoirs all the time based solely upon a proposal packet and a single chapter. But they don’t, as a rule, buy incomplete fiction.

So when Ima makes a point of saying in her query — and right off the bat, too — that her manuscript is complete, probably merely because she saw an example online that used that phrase, she is effectively making a virtue of having lived up to the publishing industry’s minimum expectation of fiction writers. To Millicent’s mind, that’s just not something anyone familiar with how fiction is actually sold in this country would do.

But as much as most agents prefer to take on new clients who have done their homework about how publishing does and does not work, professional naïveté all by itself is seldom considered an instant-rejection offense. That unusually high word count, however, often is. In fact, many Millicents are explicitly trained to reject a query that mentions the manuscript it is promoting exceeds 100,000 words.

Why draw the line there? Cost, mostly. Although the average manuscript shrinks in length by about 2/3rds in the transition to print, it’s just far more expensive to print a long book than a shorter one. Since the publication costs rise astronomically at about 125,000 words — different binding is necessary, and trade paper binding is more problematic — and it’s so common for first-time authors to be asked to revise their books and add pages prior to publication, they like to leave themselves some wiggle room.

So pervasive is the prejudice against first books over 100,000 words (i.e., 400 pages in Times New Roman) that it’s not unheard-of for agents to tell clients with books pushing the upper limit simply to leave the word count off the title page. (If you were not aware that the word count is typically included on a professional title page, or that a title page is necessary for a manuscript, run, don’t walk to the HOW TO FORMAT A TITLE PAGE category on the archive list at right.)

Did some of you do a double-take at the 100,000 words = 400 pages equation? “But Anne,” Ima cries, justifiably upset, “my manuscript is nowhere near 400 pages. But it is about 137,000 words. What gives?”

I’m guessing that you have been using actual word count, Ima, not estimated. For short stories and articles, it’s appropriate to report what Word says your word count is, but for books, that’s not historically how it has been figured. And unfortunately for your query, Millicent will just assume that any word count that ends in a zero is an estimate.

Actually, she’s likely to leap to that conclusion, anyway, because that’s how word count for books has historically been figured: 250 x # of pages for Times New Roman, 200 x # of pages for Courier. Yes, yes, I know, Ima: the resultant figure will bear almost no resemblance to the actual word count. That’s fine — expected, even.

But that expectation does carry some pretty heavy implications for using the stock phrase complete at X words, necessarily. Specifically, when Millicent spots your query’s assertion that your manuscript is 137,000 words, she — and a potential acquiring editor — will just assume that your novel is 548 pages long. (137,000 divided by 250.) And that, as we discussed above, would place it well beyond what her boss, the agent of your dreams, could hope to sell as a first book in the current fiction market.

“But Anne,” Ima protests, tears in her eyes, “I see plenty of fantasy novels that long in the bookstore. Because, yes, I am one of those great-hearted and sensible aspiring writers who realizes that if I expect bookstores to help promote my novel when it comes out, I should be supporting them now by buying books from them.”

While I approve of your philosophy, Ima — and would even upgrade it by pointing out that an aspiring writer who does not regularly buy recently-released first books in her own book category is shooting her own long-term best interests in the metaphorical foot — what you probably have in mind are novels by established authors. What a writer with an already-identified readership demonstrably willing to buy his books can get away with often differs radically from what a first-time author can hope to sneak past Millicent. And because market conditions change, it’s certainly different from what a first-time author might have been able to sell five years ago.

It’s a truism, to be sure, but people in the industry repeat it for a reason: in order to get discovered, a new writer’s work doesn’t merely have to be as good as what is already on the shelves; typically, it needs to be better.

Now, an aspiring writer can find that truth discouraging — apparently I’ve depressed poor Ima into too deep a stupor to keep formulating questions — or she can choose to find it empowering. Yes, that stock phrase gleaned from an online query template led Ima down the path of certain rejection, but honestly, can you blame Millicent and her ilk for wanting to reject queries crammed with prefab, one-size-fits-all phrasing?

Be honest, now: if you were an agency screener, wouldn’t you prefer to reward queriers who made the effort to sound like themselves?

Of course, it’s quite a bit more work to come up with original phrasing for what most aspiring writers regard, let’s face it, as merely an annoying hoop through which they have to jump in order to get agents to read their manuscripts. It’s more than that, though — to Millicent, it’s your first opportunity to wow her with the originality of your voice, the startling uniqueness of your story or argument, and, yes, your professional grasp of the realities of publishing.

Listen: every piece of writing you send to an agency is yet another opportunity to demonstrate that you can write. Millicent wants to see your literary voice on the page, not other people’s phrasing, and certainly not a pale echo of what anybody random person on the street might say. (I’m looking at you, Madge.) Read your query carefully to make sure that you sound like you and nobody else — and that the story you are telling or the argument you are making doesn’t read like anybody else’s, either.

A tall order? Most assuredly. But isn’t this what a good writer wants, people in the publishing industry taking her writing seriously enough to pay close attention to how she chooses to arrange words on the page?

Queryfest, part XVIII: and had I mentioned the desirability of doing your homework?

That’s right, campers: it’s time for another one of my little object lessons on the desirability of taking context into account. Quick, tell me what the snapshot above depicts.

A trifle difficult to hazard a reasonable guess without knowing what falls outside the bounds of the photo, is it not? Since light has a delightful habit of bouncing off many types of medium in similarly attractive ways, you might well have shouted out a wide array of answers: raindrops on a windshield backlit by a changing stoplight, perhaps, or confetti falling at night. A hailstorm as seen through rose-colored sunglasses might also have seemed plausible.

Would you change your answer, though, if I told you that I took this photograph not only indoors, but in a funky women’s apparel boutique? There, too, my camera might have picked up quite a few different reflective options by focusing tightly on a piece of amber jewelry, for instance, or shooting the shop through a beaded scarf.

I’m relatively certain, however, that even had first I named the shop and listed its entire contents, few of you would have glanced at the photo above and immediately exclaimed, “Oh, that’s a close-up of a black wool tam o’ shanter with gold sequins knitted into it at irregular intervals.” At least, not unless some of you have been secretly harboring your old disco togs for a few decades now, waiting for the day the Bee Gees cease merely stayin’ alive and begin actively making their comeback.

I sense more than a few rolling your eyes, and not just at the notion of dancing the night away in a heat-saturated club while wearing wool headgear. “That was a trick question, Anne,” the eye-rollers huff, and who could blame you? “By basing my guess purely upon that single snapshot — as opposed to, say, an array or pictures documenting the other items for sale adjacent to that tam o’ shanter or a photograph of some benighted soul getting down and funky underneath it — I was bound to guess incorrectly.”

Precisely, eye-rollers: it’s never a good idea to glance quickly at something complex that’s brand-new to you and assume that you understand it completely. Yet that’s precisely what many, if not most, first-time queriers do when approaching an agency to seek representation.

“Oh, I can do that,” they say, squinting at whatever letters happened to pop up when they typed query + novel into a search engine, or casting a cursory glance over a checklist on a how-to website. “All I need to do is talk about my book.”

Those of you who have been following Queryfest are already cringing, I hope. In case anyone isn’t, let’s take a gander at the all-too-common result of the reasoning above. As always, if you are having trouble reading the individual words, try holding down the COMMAND key and hitting the + key a few times to enlarge the image.

I am not showing you the second page of this misguided missive for the exceedingly simple reason that there is absolutely no chance that our old pal, Millicent the agency screener, would even consider reading beyond the bottom of this page. Had Meanswell done his/her homework on querying a little better, s/he would know why: under no circumstances should a query exceed a single page.

Do those gales of laughter indicate that some of you found that last point a bit on the self-evident side? “Oh, come on, Anne,” some of you scoff. “Surely, we don’t need to take up our valuable analytical time here going over that faux pas. Keeping the query under a page is literally the first thing most of us learned about approaching agents.”

Ah, but I’m not bringing it up for the benefit of writers who have taken the time to learn something about the querying process. I felt compelled to mention it because it’s actually not beyond belief that some swiftly-scanning web surfer will click onto this post someday and try to copy Meanswell’s letter.

Oh, you may giggle, but you haven’t seen my comments archives. Believe it or not, I do occasionally receive messages from would-be queriers who inform me in aggrieved tones that they followed my example to the letter, so to speak, but they still haven’t landed an agent. Surprisingly often, it turns out that they simply lifted the first example I posted on a particular day, without reading any of the explanation around it.

Well might you shudder. But as you do, congratulate yourself on being serious enough about your writing career to do your homework about what differentiates a good query from, well, 99% of what Millicent sees.

Noticing a pattern here? Throughout this long series, I have doggedly kept re-using a key phrase: I have been encouraging savvy writers to do their homework on individual agency guidelines before they send off a query; I’ve pointed out that this or that faux pas just screams at Millicent the agency screener that the queriers who commit them have not done their homework; the single best means of figuring out a book’s marketing category is — wait for it — for writers to do their homework about what similar books are currently on the market.

As opposed to, say, embracing the astonishingly popular alternative of glancing at a website or two, assuming that what one finds in a ten-minute search will necessarily cover everything a writer might need to know about pulling together a query, and scrabbling together something that seems to fit the bill. Being in that much of a hurry not only maximizes the chances of rejection, but also tends to come across as disrespectful to both the agent being approached and the manuscript itself. As I have said before and shall no doubt say again, there is no such thing as a generic agent, right for every conceivable type of book; agents specialize. They also have individual tastes. So no matter how much the current literary market might, in the author’s estimation, need a particular book right away, it just doesn’t make sense to skip the information-gathering step.

In other words: do your homework.

The sad thing is that the staggeringly high percentage of first-time queriers who make mistakes like Meanswell’s do so innocently. Since virtually any agency will use the word query in its submission guidelines, just plugging the term into a search engine should come up with an adequate definition, right? Every agent is looking for precisely the same thing, right? And since writing is writing, it doesn’t matter whether the directions that happen to pop up first are for querying a book manuscript, writing a cover letter to accompany a book proposal, or approaching a magazine with an article or short story, right?

Actually, wrong on all counts. Words frequently mean more than one thing, especially terms that crop up in unconnected contexts. Travel agents book trips for their clients, after all, but that activity does not remotely resemble the kind of booking police officers perform when they arrest people. And just because publishing houses, magazines, academic journals, and railroad schedules all contain writing doesn’t mean that those who produce them go about collecting that writing in the same manner. It’s only reasonable, then, to expect that each of these disparate types of publishers would have its own standards for querying.

Context, people. Figure out what kind of entity is best suited for your type of writing — an agency for a manuscript, an agency or small publishing house for a book proposal, a magazine for a short story, a journal for an academic article, a newspaper for a news article, etc. — then take the time to learn how professionals publishing in that forum construct query letters. For book publishing, I think you’ll find that the most successful purveyors of manuscripts to agents do not use the same letter for everybody they approach, but tweak each query to speak to the individual agent’s interests.

In other words, they do their homework before they query.

Yes, yes, I know: you’ve begun to twitch like Pavlov’s pups at mealtime each time I mention this, but I’m not the only querying guru fond of this phrase, as it happens. You can’t throw a piece of bread at a writers’ conference without hitting an agent, editor, contest judge, or writing coach loudly deploring just how few of the aspiring writers they meet seem to have do their homework before querying, submitting, pitching, entering a contest, or anything else that would require putting ink on paper and handing it to somebody in a position to evaluate it professionally.

Why is this phrase so ubiquitous in professional reader circles? Well, not being a mind-reader, I can’t say for certain what each and every speaker who spouts it is thinking, but I can hazard a guess: it probably stems from the fact that a good half of the queries any agency receives are so unprofessionally put together and worded that they might as well be billboards declaiming THIS ASPIRING WRITER DID NOT TAKE THE TIME TO LEARN HOW AGENCIES WORK BEFORE POPPING THIS INTO THE MAIL.

“Half?” a good quarter of you ask, gulping. “Seriously, that many?”

Actually, most of the agents I know place the percentage closer to 60% and rising. Why might it be going up? Again, I don’t profess to be a mind-reader, but I’ll take a crack at an answer: with the rise of the Internet, it’s not only become much, much easier to generate a list of who represents what kind of book; with the relative ease of e-mailed queries, it’s become substantially less expensive and time-consuming for an ambitious non-homework-doer to query 75 agents in a weekend.

Often, unfortunately, with missives like the charmer below. This writer has done a bit more homework than Meanswell; he, at least, is aware that he needs to limit his missive to a single page. Like so many generic queries, though, this one has the agent’s name and address mail-merged into the top, to give it the appearance of a personalized letter.

Don’t believe that this is a representative sample? You’re quite right: this letter is spelled far too well.

I would hope that by this late point in Queryfest, I would not need to elaborate on what’s wrong with this letter. (Arial Black 16 point type? Please!) Obviously, it contains none of the required elements but the title, so its chances of charming Millicent into reading so much as a syllable of the attached manuscript are approximately nil. And she wouldn’t even need to read the query if she worked at one of the many, many agencies that does not accept unsolicited submissions — at most agencies, a query packet that included a manuscript would simply be dumped into the trash.

Resentme is really racking up the instant-rejection points here, isn’t he? Clearly, this writer has not done his homework: he doesn’t know what a query letter is supposed to do, other than act as an introduction to a stack of paper.

Yet even if by some miracle Millicent decided to look past this letter’s complete lack of requisite information, writing style, and professional presentation, Resentme still could not possibly receive any benefit from having sent this query. Any guesses why?

If you immediately leapt to your feet, hand waving wildly in the air, and cried out, “For heaven’s sake, Anne, the guy forgot to include his contact information!” you have more than earned your gold star for the day. Even homework-doing writers routinely forget to include these salient details — a genuine pity, because when Millicent unearths a truly professional-looking query for an interesting book of the variety her boss typically represents in a day’s mail, she gets excited about it. How sad, then, if she has no way to convey that excitement — or a request for pages — to the person who wrote it.

A small forest of raised hands just sprouted out there in the ether. “But Anne,” the puzzled masses shout with one voice, “I only query via e-mail. So I don’t have to worry about this contact information stuff, right? All Millicent has to do to contact me is hit REPLY.”

Well, technically, yes, puzzled masses — if she happens to make up her mind while the e-mail is still on her screen. (Oh, your finger has never slipped while you were scrolling through e-mails, accidentally deleting something you wanted to keep?) And if she is empowered to ask for pages without consulting a higher-up — which may not be the case, if she just started her new screening gig, say, immediately after January 1, and Resentme was one of the tens of thousands of North American writers whose New Year’s Resolution was to send out a flotilla of queries. (More on that last bit follows next week, never fear.) If she is required to forward the queries she liked up the ladder, her supervisor’s hitting SEND would shoot the missive back to her, not to you.

But none of that is the primary reason that every query, every query packet, and every submission packet should include the sender’s full contact information, including phone number, mailing address, and e-mail address. You should do it because you don’t want Millicent to have to waste even a moment thinking, oh, didn’t this writer remember to tell me how to get ahold of her? Didn’t she do her homework?

Speaking of the perils of not doing one’s homework, did you catch the other omission that would cause Millicent to grind her teeth and cry, “This is a form letter! Resentme has probably sent this to every agent in the Manhattan phone directory within the last 24 hours. Next!”

Any wild guesses? How about the fact that the letter is not dated, presumably so the sender can reuse it in perpetuity?

Seriously, this is a classic agents’ pet peeve — precisely because it’s an extremely common time-saving technique for all of the Resentmes out there. Or at least it was back when lazy aspiring writers had to rely upon Xerox machines, rather than just hitting the print key repeatedly or SEND, to wallpaper New York with completely generic queries.

Why does the very sight of a generic query make Millicent’s fingertips itch for a form-letter rejection? Well, for starters, one-size-fits-all letters make her job more difficult. Generic queries virtually never give her any hint about

(a) the book in question’s category (so she will have to guess whether it falls into one that someone at her agency actually represents),

(b) why the writer thinks her boss would be a good fit for it (since a generic query is intended for every agent’s eyes, it cannot afford to be specific), and/or

(c) what might make this book marketable (because that would require the querier to do a bit of, you guessed it, homework).

So can you honestly blame her for leaping to the conclusion that the sender just didn’t do his homework? Or for assuming, as most professional readers would, that a writer who didn’t do his homework about how to write a query probably didn’t do his homework about how to format a manuscript, either?

Yes, really — and that presents a serious stumbling-block at querying time. Even in an agency already resigned to explaining how the publishing industry does and doesn’t work to first-time authors, a non-homework doer would stand out an unusually energy-sapping client: he doesn’t even know enough about the ropes of the industry to know that he should learn how to climb them.

The second reason that obviously generic queries tend to engender such universally negative reactions amongst screeners — other than the fact that they’re often phrased as demands for attention, rather than requests for assistance, that is — lies in human nature. No one likes to be treated as if she were a service-providing machine. Good agents have a right to be proud of what they do: they help bring great writing — and great writers — to publication.

What’s wrong with their appreciating queriers who have taken the time to find out about what they have sold in the past more than those who address them as though any agent were as good as any other? Or preferring queriers who phrase their requests politely, in a query that deliberately speaks to the agent’s individual interests, over those who are quite clearly just trying to hit as many agencies in as short a time as possible?

Why should we blame them, in short, for preferring writers who have obviously done their homework to those who equally obviously have not?

The problem is, it’s getting harder to tell the difference. Ten years ago, there was a lot less querying advice available upon demand. Today, anyone with the minimal technical ability to perform a Google search of the word query might well find within just a few clicks a prototype that avoids the faux pas above entirely.

If she’s lucky, that is. She’s equally likely to come up with something that doesn’t fit the bill at all.

With a little bit of homework, pretty much anyone can find a template into which he can simply plug his information instead of writing a truly unique query letter from scratch. So what ends up on Millicent’s desk on any given morning is 150 letters rather like this:

with perhaps one like the following somewhere in the middle of the stack:

Both are generally passable by prevailing wisdom standards, right? Millicent actually does have to read a bit closer in order to separate the wheat from the chaff.

Please tell me, though, that it was clear to you why the second was better. Competent told Millicent why she picked this particular agent (complimenting a current client’s book is always a classy touch), described her premise well, and listed a couple of legitimate authorial credentials for this particular book. Perhaps her book’s title was a trifle derivative of the existing client’s, but overall, this query did what it needed to do.

The first example, sadly, did not. True, Sadie did open the first with an eye-catching hook statement (and not a bad one, actually), but she made Millicent guess the book category — probably because Sadie wasn’t sure of it herself. She’s also left Millie to guess what her qualifications are to write this particular book. And what on earth does a collection of insights mean, anyway? It isn’t even clear from this query whether what’s being offered is a how-to book for living with a food restriction, a quote book, or an illness memoir.

It would, in short, be pretty obvious to a careful reader which writer had done her homework and which hadn’t. However, if Millicent happened to be having a bad day — and who is more entitled, really? — both of these writers might have ended up receiving form-letter rejections.

Why? Well, did you spot the notorious agents’ pet peeve in Competent’s first paragraph that might have caused our Millie to choke irritably on her too-hot latte and reach gaspingly for the form-letter pile?

No one could blame you if you missed it, because it’s quite subtle: Competent referred to her book as a fiction novel. Technically, this is redundant; all novels are fiction, by definition.

Which is why, in case anybody had been wondering, authors often pause a moment or two before answering the ubiquitous question, “Oh, you’ve just finished a novel? Fiction or nonfiction?” Like everyone else even vaguely affiliated with the publishing industry, we have to tamp down our knee-jerk response: there’s no such thing as a nonfiction novel, silly!

Actually, the epithet at the end of that thought is usually quite a bit harsher, but this is a family-friendly site.

As I mentioned in passing earlier in this series, fiction novel is not the only phrase likely to provoke this reaction. So is true memoir. Or, perversely, sci-fi novel instead of science fiction novel.

Why the last one? Literary history, my dears: science fiction and fantasy had a hard time getting taken seriously as literature. That prejudice extends practically to this very moment: the first science fiction author to be included in the prestigious Library of America series was my old friend Philip K. Dick.

In 2007, more than 25 years after his death.

The literary world’s slowness to embrace one of the great literary genres frequently used to take the form of insults aimed at SF writers. As late as the early 1980s, literary-voiced science fiction and fantasy was still routinely being dismissed in mainstream literary circles as just sci-fi. As in, “Oh, I never read sci-fi; that’s kid’s stuff.”

Historically, then, it’s been a matter of respect to refer to the category either by its full name, science fiction, or SF. So from the perspective of a Millicent who works at a science fiction-representing agency, an aspiring writer who refers to his own writing as a sci-fi novel clearly hasn’t done his homework about his own chosen book category.

Competent did do something clever, though: for an agent whom one has not had the opportunity to hear speak at a conference, read an article or blog authored by, or come up with some other excuse for picking him out of an agents’ guide, bringing up a current client’s most recent publication is a dandy justification. As a bonus, up-to-date client lists are almost always readily available on agency websites.

I just mention that for the benefit of those of you who might not have time to do much homework.

Let’s face it, these days, many, not most, aspiring writers decide whom to query not through extensive market research about who is selling what in their chosen book categories, but by plugging a book category into a search engine and sending a query to the first name that it spits out. Or first 25 names. Or, in some cases, all of ‘em.

I’ve already spoken enough about the advantages of personalizing one’s query to match each individual agent’s expressed preferences, literary tastes, and sales track record that I shall not take up blog space today by commenting again upon the strategic wisdom of this method of query list generation. Suffice it to say that I hope those of you who have followed Querypalooza from the beginning looked at that paragraph above and immediately muttered, “Wow, 25 agents. That’s going to be days of background research,” rather than, “There’s a search engine that would spit out more than 25 names for my list? Great — I’ll send out another 50 generic queries tomorrow.”

Normally, I would take issue with that last statement, energetically pointing out the many potential pitfalls into which a one-size-fits-all querying strategy is likely to lead a writer who — chant it with me now — hasn’t done his homework. But it’s getting late, and I’d like to talk about another example or two before I sign off for the night.

Besides, you’re intelligent people: you already have the tools to analyze the qualitative difference between a generic query and a well-personalized one yourself. Compare the following, for instance, with the last two examples above. All were sent to the same agent, and all of the queriers had access, via the Internet, to precisely the same information about her.

Notice anything as you cast your eyes over those three letters? Perhaps that what elevated the last two’s opening paragraphs was a single reference each to work the agent had done in the past? Just how long do you think it took either of those writers to dig up those tidbits on the agency website?

Word to the wise: the amount of homework required to personalize an already-solid draft query is not particularly extensive. Nor is the imperative to check each agency’s website or guide listing for specialized submission instructions especially onerous. It honestly is worth every second it takes.

Bearing all of that in mind, let’s take another peek at today’s first example, poor old Meanswell’s overstuffed missive, with an eye to giving him some much-needed advice on how to present that book better on the query page.

Did you catch more problems this time around? Beginning at the top of the page, the letter is undated; it’s in a wacky typeface (and a large one at that); the salutation is too familiar (unless Meanswell had actually met Aiden before, s/he should have stuck with the formal and safer Dear Mr. Authors); the query doesn’t mention what kind of book it is (indeed, Millicent would not learn that the protagonist is a fifth grader until well into the plot summary); there’s no indication of why Meanswell is approaching Aiden; the plot summary is far too long, and so is the query. Heck, it isn’t even clear, except from the Jupiter element, whether the book is fiction or nonfiction.

If you were Millicent, would you be willing to take the time to make sense of this?

As if all of that weren’t enough, there are another couple of extremely common faux pas here. Care to guess?

If you flung your hand to the skies and shouted, “I know! Since an agent will expect a potential client to have written the novel manuscript in question in its entirety before even thinking about querying, Meanswell’s mentioning that the manuscript is completed is unnecessary,” award yourself a second gold star for the day. Although this phrasing appears in a startlingly high percentage of the query templates floating around out there, including this information implies ignorance about how fiction is sold in this country.

If you also muttered under your breath, “Well, in Meanswell’s shoes, I wouldn’t have mentioned the word count at all, given how long the book is,” help yourself to another gold star out of petty cash. Although acceptable word counts do vary from book category to book category, in most fiction-representing agencies, the Millicents are trained to regard anything over 100,000 words as too long to sell readily. All Meanswell has really done by mentioning the length of the manuscript is to provide Millie with a reason to reject it unread.

“Wait just a knee-jerk rejecting minute!” template-lovers across the Internet point out. “What do you mean, s/he should have left it out? I’ve seen plenty of how-tos that insist that word count is an essential part of the query!”

Would you throw the nearest portable object at me if I pointed out that this belief can only be the result of insufficient homework-doing? Yes, there are a few agencies out there that do ask point-blank for word count in queries — the better to reject the overly-long, my dears — but it’s far from a universal request. Since it can only work to a novelist’s disadvantage to include word count (trust me, Millicent is not going to clap her hands and exclaim, “Oh, goody, it’s only 85,450 words!”), why include it in queries to agencies whose submission guidelines don’t request it?

Let me answer that one for you, homework-avoiders: the only plausible reason to do it is if you believe that all agencies want to see exactly the same things in their queries. Anything called a query must refer to precisely the same thing, right?

Of course not. Even a quick glance at fifteen or twenty sets of agency guidelines — or a rapid flip through one of the standard agency guides — will demonstrate not only that different agencies routinely ask for different information to be included in queries, but that the expectation that word count will be mentioned at all is a relative rarity.

I leave it to your fertile imaginations to figure out why, under these circumstances, there are so many templates and how-tos out there that call for word count. While your creative wheels are spinning, however, let’s take a look at how Meanswell might have approached Aiden in a manner that makes it plain not only that the book is interesting, but that its writer has done his/her homework:

“Hey, no fair, Anne!” the sharper-eyed among you protest. “When I read Meanswell’s first version, I had no idea s/he had such good credentials for writing this book.”

Exactly — and neither did Millicent. Whose fault was that?

After all, you can’t reasonably expect her to guess the context in which you wrote your book, right? Keep up the good work!

Queryfest XI: who, me? Inconspicuous? When I’m tap-dancing and waving sparklers?

Yet another unplanned hiatus, campers: my server went down like a glass-jawed boxer, taking my blog access and e-mail with it. If you were picturing me taking advantage of my suddenly net-bereft existence by curling up on the nearest chaise longue with a stack of new releases, you underestimate the shrillness of my telephone. How on earth did so many curious people — and I mean that in both senses — find out that I wrote my undergraduate thesis on the 1934 San Francisco General Strike? Is there some sort of database for academic work the author never tried to get published? Or are there merely very few people who have written on the subject, since, say, Franklin Roosevelt was president? I’m not complaining — I’ve gotten some awfully interesting conversations out of it, enough to prompt me to dig out my long-buried notes on a novel set in the 1930s — but if anyone’s gearing up to come knocking on my studio door to ask questions about my fifth-grade history paper on the Bonus March, the professor’s out for the weekend. I want to get back to that stack of new releases.

My literature-minded parents, you will be either amused or appalled to hear, made me type that history paper in standard format, because professional presentation of a book manuscript was not the kind of thing they wanted their little girl to traipse into middle school not being able to do. I had to explain to my teacher what a slug line was.

Speaking of documents that must adhere to the rigors of standard format, I hope you’ve been whipping those manuscripts into shape for submission: after so many days away from you fine people, I’m longing to kick Queryfest into overdrive. In celebration of my newfound vim and the ostensible cooperation of my server (hang in there, baby!), I anticipate polishing off the infamous troubleshooting checklist this very evening. I’m going to be tackling readers’ burning questions on the subject in the days to come, so now would be a great time to leave a comment with any lingering concerns on the subject that might be troubling your mind in the dead of night.

Oh, don’t pretend you haven’t devoted a midnight or two to worrying about your querying prowess. Writers have magnificently creative minds, gifted at manufacturing huge, complex structures entirely out of angst.

I’m also going to be taking my infamously sharp editing pencils to a randomly-selected few readers’ queries as illustrative examples. Oh, and do include a positive statement that I have your permission to use your query as an example.

To our muttons. As those of you with unusually good memories may perhaps recall, before the connectivity imps dragged me temporarily from your presence, I had asked — nay, demanded — that those of you who had already drafted queries print them up, plant them firmly by your doubtless attractive elbows, and ask yourselves an array of trenchant questions about them.

Time again to whip ‘em out. Our last batch of questions will focus upon means of conveying that your book is interesting, in addition to being marketable under current literary conditions. Contrary to popular opinion amongst queriers, it’s not necessarily self-evident in a plot description for even the most fascinating book how or why it is likely to pique readers’ interest. Or whether it is exciting. Or even vaguely original.

Blessed are the Millicents, for they shall be plowing through it all.

Of course, some of the queries passing under her weary eyes must be for books that are neither interesting, exciting, or original in any way, but you’d be astonished at how many query letters for genuinely, gob-smackingly compelling books fail to make them sound even remotely so. It’s as though half the aspiring writers out there believe that the mere fact of having completed the manuscript is in itself a merit badge of fascination — and sufficient reason for total strangers to mob bookstores, clamoring to read their books.

I hate to be the one to break it to those of you who have spent the last few years polishing the latest iteration of the Great American Novel, but that’s just not how it works. Few readers march into the corner bookstore and announce to the nice person manning the cash register, “I want to buy a book. Not on any particular subject matter, mind you, and I have no strong literary preferences of my own. No, I want to purchase some volume of prose simply because someone was enterprising enough to write it. Lead me instantly to such a tome, my good man.”

“That’s going to present a bit of a problem,” the clerk would be forced to say. “By definition, every book in here was written by someone enterprising enough to write a book. Unless, of course, it’s a celebrity memoir, in which case it was written by someone enterprising enough to get paid for writing in someone else’s voice.”

Doesn’t happen much, I’m afraid. And that’s why, in case anyone had been wondering, agents and the Millicents who screen queries for them seldom cast their eyes over a query that makes a book sound mundane and exclaim, “Oh, it doesn’t matter that this story doesn’t sound very exciting, or that I think it will not appeal to any currently-established group of readers. The author clearly worked very hard on it, and that’s good enough for me. Let’s request the full manuscript!” Not being in the business of seeking out the best in new literature on a not-for-profit basis, they harbor a prejudice for books they believe they can sell.

Then, too, the ability to produce complete manuscripts is the beginning of the professional writer’s job description, not the end. Literally everyone who sends off a fiction query has done as much — or should, if she is playing by the rules. (You did know that agents assume that any novel being queried or pitched will be not only completely drafted already, but fully polished, right?) And every nonfiction book proposer is at least planning to sit down and write a book.

So in order to catch Millicent’s eye, your query is going to need to make the book sound like it has more going for it. An original and thrilling plot, for instance. An intriguing narrative voice. A set of facts not presented in that particular way before, or an argument the nation would be better for having heard. That sort of stuff.

It may seem strange that I feel compelled to point that out, but you would be astonished at how many queries don’t make a good case for any of these. Truth be known, an astonishingly high percentage of the query letters that fall onto agents’ desks make the books sound dull as the proverbial dishwater.

Which, I hasten to add, isn’t necessarily a reflection upon the book being queried at all. It is, however, a damning indictment of the effectiveness of the query letter in question.

Yes, outraged masses banging on the door of my studio? “But Anne,” purists everywhere shut, “I’m a novelist/memoirist/narrative fiction writer/political essayist looking for the skinny on the Bonus March, not an ad copywriter. If everything I had to say could be summarized in a single-page letter, I wouldn’t have much material for a 400-page book, now would I? Surely, Millicent must be aware of that — and if she isn’t, why doesn’t she have the intellectual curiosity/open-mindedness/common decency to take a gander at my manuscript before deciding that it is not particularly likely to interest readers in a specific target demographic, rather than leaping to that conclusion based on the query alone?”

The short answer: time.

The long answer: our Millie has a heck of a lot of queries to get through on any given day. Since her boss, the agent of your dreams, could not possibly read every manuscript queried, it’s her job to leap to that conclusion as speedily as possible for the overwhelming majority queries. She was specifically hired to weed out the ones that don’t seem like good fits for the agency, are not well written, are not likely to do well in the current market — and yes, Virginia, the ones that just don’t make the book sound especially interesting.

Darned right, that requires a snap judgment, and certainly a subjective one. A Millicent who bores easily tends to be very, very good at her job — which, lest we forget, primarily involves rejecting aspiring writers.

Stop seething and think about that massive pile of queries on her desk for a moment: the authors of every single one of those find their own books fascinating, too, but that’s not enough to intrigue our favorite agency screener. To be the one query out of a hundred for which she will request pages (a more generous proportion of acceptance to rejection than most, incidentally), that letter is going to have to make her believe that the book is fascinating.

Why, yes, that is a pretty tall order, now that you mention it — and virtually impossible to pull off when a writer forgets that the query is a writing sample, just as much as the manuscript is. Long-time readers of this blog, please open your hymnals and sing along:

broken-recordRealistically, every English sentence a writer places under an agent or editor’s nose is a writing sample: the query, the synopsis, the bio, the book proposal. Every paragraph is yet another opportunity to show these people that you can write.

Again, this is where adhering to a pre-set formula for query letter perfection can really harm a manuscript’s chances. By definition, cooking-mix prototypes are generic; you really don’t want to add your title to one of the many templates out there and stir.

It’s conducive to boredom, amongst other drawbacks. Instead, you will want to use every ounce of writing skill to make that screener forget that you are listing the basic points that a solid, professional query letter hits.

Yes, cramming all of that info into a page is an annoying exercise — but your job is to make it look easy. A good writer, the theory runs, should be able to make even relatively ho-hum matters read well. If you are talented enough to make a paragraph about your writing credentials sound like a gripping saga (or, at the very least, as though all of human history up to yesterday had been specifically arranged to render you the best possible writer for the book you are proposing), imagine how stirring a descriptive paragraph you could construct about your plot or argument.

You must have found them fascinating, mustn’t you, to devote all of that time to writing a book about them?

Not entirely coincidentally, the next couple of items on our query checklist are intended to help you sound like the good writer you are — and your book like the great read it is. Who could have seen that coming?

(31) Is my query letter 100% free of clichés?
In a manuscript, the desirability of steering clear of the hackneyed and well-worn is self-evident — or should be. The goal here, after all, is to convince an agent or editor that the manuscript is original; by definition, clichés have been done before.

Yet clichés turn up with surprising frequency in query letters, synopses, and even author bios. There are some pretty good reasons for that, actually: generalities are the next-door neighbors of clichés, and anybody who has ever had any contact with marketing copy, particularly for movies, might easily fall into the mistaken belief that using the usual shorthand (boy meets girl, the doctor who can’t heal himself, the protagonist in a high-risk job who cannot commit romantically, the man whose family is slaughtered within the first scene so he has an excuse to embark upon a festival of revenge, etc.) is just the way that creative people talk about their projects amongst themselves.

It isn’t. So don’t. Use the space instead to make Millie exclaim, “Wow, I’ve never seen that before.” Or at least, “Wow, that’s a magnificent turn of phrase about a fairly predictable plot point.”

How? Remember what I was saying earlier in this series about how much Millicent likes amazing details? That’s the best cure for the common cliché.

The other way that clichés often creep into queries and synopses is when writers invoke stereotypes, either as shorthand (that descriptive paragraph can’t be very long, after all) or in an attempt to put a spin on a hackneyed concept. News flash: the first almost never works, especially for fiction. This is the place to air your ideas, not the common wisdom.

The second is just hard to pull off in a short piece of writing, for much the same reason that experimental spellings, innovative sentence structures, and imaginative punctuation tend not to lend magic to a writing sample. (Unfortunately for writers of cutting-edge literary fiction.) To a professional seeing any given writer’s work for the first time, it’s pretty hard to tell what is a deliberate play upon language and what is simply evidence that the submitter did not pay very close attention in English class.

Similarly, on a quick read of a short sample, it can be pretty hard to tell the difference between a reference to a tired old concept like this:

Ambrosia (a not-so-sweet 16) is a ditsy cheerleader who dominates her school, but learns the true meaning of caring through participation in competitive sport.

and a subtle subversive twist on a well-worn concept:

Ambrosia (16) is a ditsy cheerleader — or is she? She has spent her first three years of high school carefully cultivating a reputation as a nitwit, but in reality, she’s young-looking nuclear physicist acting a role so she can infiltrate the local high school to ferret out the science teacher bent upon world domination.

I don’t mean to shock anyone, but it’s just a fact that skimmers will often read only the beginnings of sentences. And since both descriptions begin with she’s a ditsy cheerleader

Does that chorus of groans mean you’re getting the picture?

Save the subtle social criticism for the manuscript; in your query letter and synopsis, stick to specifics, and avoid stereotypes like the — wait for the cliché — plague. Excise anything that has even the remotest chance of being mistaken for a stereotype.

(32) Is my query letter free of catchphrases?
Sometimes, writers will include hackneyed phrases in an effort to be hip — a notoriously common tactic in older writers’ queries for books aimed at the YA or twentysomething market, incidentally. However, there can be a fine line between a hip riff on the zeitgeist and a cliché. Few human creations age faster than last year’s catchphrase.

And nothing signals an older writer faster to Millicent than a teenage character who rolls her eyes, pouts, habitually slams doors, and/or quotes the latest catchphrase every 42 seconds at the dinner table. Certainly if she does it in the summary paragraph of a query letter.

Yes, some teenagers have been known to do all of these things in real life; Millicent’s seen it, too. Telling her again is just going to bore her.

When in doubt, leave it out, as my alcoholic high school expository writing teacher used to hiccup into my cringing adolescent ear. He was also prone to shouting, “TWAIN!” at students who failed to spell proper nouns correctly, presumably in reference to Mark Twain’s assertion that he didn’t care what was printed about him, as long as they spelled his name right. (Several public figures have disputed his claim to have said that first; Dorothy Parker certainly said it most often.)

Sure, my teacher’s DTs occasionally caused him to see Edgar Allen Poe peering at him menacingly from dark corners, but the man knew his way around a sentence. Like him, many people in the publishing industry have a hatred of clichés that sometimes borders on the pathological. “I want to see THIS writer’s words,” some have been known to complain, “not somebody else’s.”

Don’t tempt these people — they already have itchy rejection-trigger fingers.

(33) Is my query letter free of jargon?
Not all boredom springs from predictability,: sometimes, it’s born of confusion. A common source of the latter: the over-use of technical terms in a query letter.

Predictably, jargon pops up all the time in nonfiction queries and proposals, especially for manuscripts on technical subjects. How better to impress Millicent with one’s expertise, the expert thinks, than by rattling off a bunch of terms a layperson couldn’t possibly understand?

I can think of a better way: by presenting one’s credentials professionally — and by explaining complex concepts in terms that even someone totally unfamiliar with the subject matter will understand.

Remember, even if Millicent works for an agent who happens to specialize in your type of nonfiction book, she’s almost certainly not a specialist in your area. Nor is her boss — or, in all probability, the editor who will acquire the book. For marketing purposes, it’s safest to assume that they were all English majors, and choose your words accordingly.

Novelists also tend to use jargon quite a bit in their queries, especially if their protagonists are doctors, lawyers, physicists like our cheerleader friend, professors (or ex-professors, like yours truly), or members of another legitimately jargon-ridden profession. These writers believe, not entirely without cause, that incorporating jargon will not only make these characters sound credible — quoth they: “But these people really sound that way!” — but will make the writers themselves sound as though they know what they’re talking about.

Laudable goals, both — but if Millicent can’t understand what either is saying, this strategy is not going to work. (The same holds true with contest judges, by the way.) And honestly, if a writer can’t make it through a paragraph-long plot description without resorting to jargon, why shouldn’t she assume that the manuscript will be peppered with the stuff?

Remember, one of the things any successful query needs to demonstrate is that the sender can write. Since jargon is by definition shorthand, it tends to be a substitute for evocative descriptions, not an integral part of them.

Wow Millicent with your expertise in your book’s subject matter, by all means — but in the query, be sure to cast them in layman’s terms. Speaking of writing talent…

(34) Does the sentence structure vary enough to show off my writing talent?
Writers tend not to think about sentence structure much in this context, but remember, Millicent is reading a whole lot of these missives in a row. The fact that your garden-variety query letter is stuffed to the brim with simple declarative sentences — or with four-line beauties with two semicolons in each — is bound to make those queries start to blur together after a while. Take a peek at this fairly typical gem:

I have written a book called Straightforward Metaphors. I hope it will interest you. It is about two sailors who go to sea. They get wet. They catch a fish. It gets away. Life is strange.

Sorry, writer-who-loves-simplicity, but THE OLD MAN AND THE SEA has already been done. There’s a reason that book is taught to 15-year-olds: the sentence structure is definitely YA, and thus probably not reflective of the narrative voice in this particular narrative. Despite the current popularity and burgeoning innovation of the YA market, using YA language is not the best way to pitch adult fiction.

Too-simple sentence structures are not the only reason Millicent might draw unflattering conclusions about a writer’s skill level from a query letter — poor grammar and/or spelling are far more common prompts. (Chant it with me now, campers: reread that query IN ITS ENTIRETY, IN HARD COPY, and OUT LOUD before you pop it in the mail or hit SEND.) However, even subtle structural repetition can set off some red flags.

I have written a novel, Straightforward Metaphors, and I hope you will be interested in representing it. Two sailors put to sea in a pea-green boat. They find their clothing all wet in record time. They toss their uniforms into the ocean, and their captain sees them dancing about the deck in their very non-regulation underwear. Hilarity ensues, and a court-martial has never been funnier.

Did you catch the problem? As I have argued about narrative writing, it’s tiring for a reader to scan the same sentence structures back-to-back, line after line.

Mixing it up a little is a relatively painless way to make your writing seem more sophisticated and lively without altering meaning. After all, that single-page letter is your big chance to impress Millicent with your writing acumen.

(35) Have I avoided the passive voice altogether in my query letter?
Eschewing the passive voice in every piece of writing you submit to an agency or a publishing house is an excellent idea because, not to put too fine a point on it…

broken-recordPretty much every professional reader in the U.S. has been specifically trained to regard the passive voice as inherently poor writing. At minimum, it’s less vibrant than more direct and active sentences. If you want to impress a pro with the quality of your writing, you should avoid the passive voice as much as possible.

Have you been left in doubt by me as to why? (Yes, well might that sentence make you cringe, campers. It is incumbent upon me as your querying coach to be brutal in my application of the passive voice in this example.) It is designed to avoid mention of who is actually doing what in a sentence. It makes it look as though things are making themselves happen, rather than things being done by protagonists. Characters seem to be acted-upon, rather than acting. The plethora of subordinate clauses to which writers fond of this indirect style appear constitutionally drawn to as if they were being pulled by a giant magnet is bound to result in sentences to which there appears to be no end, just going on and on without ever seeming to reach any point or satisfactory conceptual conclusion, perhaps because due to lemmings a lack of proofreading by them in order to free their text from incursions by older draft remnants. Or maybe they are just being glowered at by E. Allen Poe. In any case, there are even instances where so many passive-voiced sentences appear in a row that it becomes quite confusing for the reader of the page in front of him to be impressed with a clear view of what is happening in the story.

Had enough of that reader-abusing structure? Millicent has — and frankly, so have I. After years of yanking such sentences out of query letters, synopses, and manuscripts, I actually found it mentally painful to construct that last paragraph.

Because the literary world’s disdain for the passive voice is so close to universal, most of you probably already take active steps to avoid using it in your manuscripts. Surprisingly few queriers seem to realize that the norms of good writing apply to query letters as well, though. In a way, that’s understandable: when a writer is in the throes of trying to sum up the appeal of a 400-page book in the space of a single paragraph (or a 3-5 page synopsis, even), it can be awfully tempting to trim some space by letting the sentence structure imply that actions happened entirely of their own accord.

So instead of Harold’s teacher went around the room, rapping the students who had received grades of B- or lower over their quivering knuckles with a ruler, many queries will opt for The students who had received grades of B- or lower got their knuckles rapped, or even after receiving a C, Harold found himself with rapped knuckles, as if ruler-wielding cherubim had descended from the heavens and did the rapping without human intervention of any kind.

And the Millicents of this world roll their eyes, just like the teenage characters in so many novel submissions. Everybody knows that seraphim are the ones that wield rulers.

Just between us, there’s another reason to avoid the passive voice in queries and synopses. On an almost subliminal level, the passive voice tends to imply that your protagonist is being acted-upon, rather than being the primary actor in an exciting drama. Which conveniently brings us to…

(36) Does my descriptive paragraph make my protagonist come across as the primary actor in an exciting drama? Or simply a character acted-upon by forces swirling around her?
As I have pointed out before, agents and editors see a LOT of novel submissions featuring passive protagonists, stories about characters who stand around, observing up a storm, being buffeted about by the plot. They receive even more queries that imply that their protagonists are not active.

We’ve all read stories like this, right? The lead watches the nasty clique rule the school, silently resenting their behavior until the magic day that the newly-transferred halfback notices her; the amateur detective goes to the prime suspect’s house and instead of asking probing questions, just waits to see what will happen — and what do you know? The villain spontaneously confesses. The shy couple is madly in love, but neither will make a move for 78 pages — until that hurricane forces them to share the same cramped basement. Even then, those lips don’t actually make contact until flooding wafts the rocking horse across the room to push him into her.

As I’ve explained at length in the past about why first novels with passive protagonists tend to be harder to sell than ones with strong actors (for evidence of same, see the PURGING PROTAGONIST PASSIVITY category, right), I shan’t belabor the point on the manuscript level. In the course of trying to summarize a complex premise in a query, though, many writers present their protagonists as mere pawns buffeted about by forces beyond their control, rather than interesting people in interesting situations. Particularly, I’ve noticed, if those protagonists happen to be female.

So can you really blame Millicent for drawing the conclusion that the protagonists in these books are passive, when these queries present her as so? Yes, it’s unfair to leap to conclusions about an entire book’s writing choices based upon only a paragraph’s worth of summary. But lest we forget, that exercising that particular bit of unfairness forms a crucial part of her job description.

Don’t risk it. It’s not enough for your protagonist to be the heroine of her own story; your query has to make her sound like the heroine. And no, just having her name be the only one that appears in the descriptive paragraph isn’t necessarily sufficient to pull that off.

(37) For fiction and memoir, does my query (particularly the descriptive paragraph) make the stakes in the book’s central conflict seem high enough for my protagonist that readers will care about the outcome? Does the conflict come across as both plausible and compelling? For other nonfiction, have I made the problem or issue I’m addressing appear important?
There’s a truism in editing: if a dialogue scene is dragging, raise the stakes for one of the speakers. The more the characters care about the outcome of a conflict, the easier it will be for the reader to care, too. By the same token, a fine revision tactic for keeping the reader turning nonfiction pages is to make a strong and continual case for why the subject matter of the book is vital — to the individual reader, to the society, to the world.

The same principle holds true for queries: if Millicent understands what a protagonist stands to gain or lose from confronting a clearly-defined problem, she’s more likely to find the story compelling. Similarly, if the query makes it pellucidly clear why she should care about its central question — and, more importantly, why readers in the target audience will care deeply about it — the argument is more likely to grab her.

Or, to cast it in #36′s terms: it’s not enough to impress upon reader over the course of for your manuscript or book proposal that your subject matter, characters, and/or situation is gripping enough to justify reading an entire book about it; your query has to make it sound gripping, too.

Memoir queries are especially prone to underselling the importance of what’s at stake for the protagonist. After all, from the memoirist’s perspective (and frequently for writers of autobiographical fiction as well), the primary significance of the story may well be that (a) it’s a true story and (b) it happened to the writer. Shouldn’t the very truth of the story, combined with the single person most able to give an inside perspective, be enough to captivate readers?

That’s certainly an understandable point of view, from a writerly perspective, but from a professional viewpoint, the answer is usually no. No one buys a non-celebrity memoir simply because the events described in it happened to the author; there are far, far too many truthful memoirs out there for that to be the sole criterion for book buyers.

Don’t believe me? Okay, plunk yourself down in front of the memoir section of any well-stocked bookstore. Remain motionless until you overhear a browser in that section murmur, “You know what I’m looking for? A true story. Preferably one that really happened, if possible in real life. It would be nice if the author were the person to whom it happened, and I would be absolutely in heaven if that character never stirred so much as a fingertip to alter her ambient conditions. Yep, that’s the book for me.”

When you’ve stood still so long that bookstore patrons have begun to use you as a coat rack, perhaps you will admit I have a point here.

Readers always weigh other factors into their choice of a memoir. So does Millicent in evaluating a query to decide whether she should request pages. Just as it’s the writer’s job to construct a manuscript or book proposal’s narrative to render the story compelling not just for herself, it’s incumbent upon the querying memoirist to give a screener plenty of reason to say, “Wow, this sounds not only like the narrator is an interesting person in an interesting situation — the conflict he faces comes across as one that will fascinate many readers in the already well-saturated memoir market.”

Yes, her thoughts honestly are that prolix. Our Millie is a complex reasoner.

Obviously, you don’t want to go overboard in making your case for your story or argument’s importance: implying that resolving the burning issue of leaf droppage on your lawn is the single most important factor in attaining world peace is only going to provoke peals of laughter. The line between conveying importance and self-importance can be distressingly thin.

That’s the beauty of raising the stakes: ideally, you won’t have to make positive statements about the importance of your subject matter at all, at least for fiction. (For nonfiction, go ahead and explain why the world should care. Or at least a niche audience of readers.) Your sterling description of the dynamic tension in the narrative will allow the reader to draw her own conclusion. You are just leading her toward the conclusion you wish her to draw.

You’re also, I would like to remind you, leading her away from drawing unflattering conclusions about you and your book. Which is why you should ask yourself…

(38) Is my query letter in correspondence format, with indented paragraphs?
Yes, yes, I know: I brought this up in question #1, but enough queries get rejected every year on this basis alone that I couldn’t resist an end-of-list reminder. Ahem:

broken-recordFor a paper query, it’s absolutely imperative that the paragraphs are indented. No exceptions. Business format is simply inappropriate for a query letter.

(39) Does my query letter read it is talking about a book in my chosen book category?
Well might your jaw drop. It is unbelievably common for queries in general, and book description paragraphs in particular, not to sound like what they are, promotion for a specific type of book aimed at a specific target audience who will look for it on a specific bookshelf in any old bookstore. Thrillers often aren’t described as remotely thrilling; mysteries fail to mystify, and heartwarming tales of romance and personal fulfillment leave Millicent’s cockles downright icy.

Can you really blame her, then, for assuming — perhaps wrongly — that the manuscripts in question will not provide the experience readers of thrillers, mysteries, or heartwarming tales have come to expect?

Even if the plot comes across as genre-appropriate or the argument is presented well, the language used in queries frequently leaves Millicent wondering if their authors have even read widely in their chosen book categories. Queries for YA dotted with three-syllable words, like descriptions of books purporting to explain the mysteries of particle physics in which no word exceeds four letters, imply a manuscript that does not, to put it mildly, take its target readership’s vocabulary levels into account.

Remember, Millicent is trained to think in terms of book categories — and to make her mind up fast. Just as it would be poor strategy for the first page of your novel or book proposal to leave her in doubt about your ability to write well for your target audience, your query’s word choices, particularly in the book description paragraph, should reflect the book category in which you hope to publish.

(40) Does my query letter read as though I have a personality?
I like to save this question for last, since it so frequently seems to come as a surprise to writers who have done their homework, the ones who have studied guides and attended workshops on how to craft the perfect query letter.

Personality?” they cry, incredulous and sometimes even offended at the very thought. “A query letter isn’t about personality; it’s about saying exactly what the agent wants to hear about my book, isn’t it?”

I beg to differ. A cookie-cutter query is like the man without a face we were discussing last time: he may dress well, but you’re not going to be able to describe him five minutes after he walks out of the room. The fact is, the various flavors of perfect query are pervasive enough that a relatively diligent agency screener will be familiar with them all inside of a week. In the midst of all of that repetition, a textbook-perfect letter can come across as, well, unimaginative.

In a situation where you are pitching your imagination and perceptiveness, is this the best impression you could possibly make?

Your query letter should sound like you at your very best: literate, polished, and, to employ an often misused term, unique. Your book actually isn’t like anybody else’s — so why should your query read like 57 of the last 72 that crossed Millicent’s desk? You need to sound professional, of course, but if you’re a funny person, the query should reflect that. If you are a writer whose prose tends to be quirky, the query should reflect that, too.

Of course, if you spent your twenties and early thirties as an international spy and man of intrigue, you might want to bring that up in your query, too. Because, you see, a query letter is not just a solicitation for an agent to pick up your book; it is an invitation to an individual to enter into a long-term relationship with you.

As I mentioned at the very beginning of Queryfest, I firmly believe that there is no 100% foolproof formula, my friends, whatever the guides tell you. But if you avoid the classic mistakes, your chances of coming across as an interesting, complex person who has written a book worth reading rise exponentially.

Pitchingpalooza, part XXIII: how soon is too soon, how much information is too much, and other burning questions of conference life

Remember back at the beginning of this series, when I introduced you to the world’s worst salesman, that genial soul who evinced continual exasperation because consumers insisted upon wandering into his flooring emporium and demanding, well, flooring? If only all of the benighted souls pursuing Marmoleum and carpet would leave him alone for a while, perhaps he could get some real work done — like, say, selling some flooring.

I may have met his match over the weekend: a delightful gentleman whom Home Depot had, perhaps unwisely, entrusted with the task of translating the customer’s choice of paint chip into a bucket of something that might conceivably resemble that hue if applied judiciously to a wall. “Oh, I couldn’t possibly match that,” he told me in a tone that implied I was a mad scientist, bent upon world domination through vicious color manipulation. “I’d have to special-order the base for something like that. Might take weeks.”

The color in question was, should you care to know it, royal blue. The wall behind him was painted approximately the same color as my proffered paint chip. I could, had I been so inclined, simply reached onto the shelf immediately behind his head and grabbed a can of spray paint in the shade I was requesting.

Besides, he had said something quite similar to the beige-loving lady in front of me in line. I waved paint chips from three different manufacturers under his nose, suggesting that if he did not have the base for my first choice in stock, he might conceivably be able to try one of the others.

He snorted derisively. “Yeah, but I’d have to go into the back for either of those.” He was visibly surprised when this piece of sterling logic did not instantly dissuade me from wanting to paint anything, ever. He pointed out that he would actually have to walk all the way to the back of the store in order to fulfill my madcap request, but I remained adamant. “Maybe you could come back tomorrow,” he suggested.

Eventually, I cajoled him into attempting to mix some royal blue for my trim, just to see if it was possible. If it turned out not to be, I assured him, I would follow his advice and paint the room in question flat white. But at least the question of whether royal blue was a color extant only in theory would have been resolved for the ages.

Mirabile dictu, it is in fact feasible for a well-equipped hardware store to produce a can of non-white paint. Feeling that the paint gods were on my side, I recklessly requested a couple of gallons of light blue paint for the rest of the room.

He sighed so gustily that customers in adjacent aisles wheeled around to see who had been punched in the gut. “Lady, if you want colors like that, you should go to a specialty store. Now, if you could pick something more reasonable…”

“Well, I could gold-leaf the room, but that might be a trifle hard on the eyes.”

He appeared pleased with the suggestion. “That would be beautiful. Of course, we don’t carry anything like that here.”

Clearly, the man was a minion of the wallpaper industry. By dint of persistent cross-examination, however, I did manage to elicit an admission that a light blue could in fact be produced by — I hope I’m not giving away an artist’s secret here — mixing a blue tint with white paint. Who knew?

Not wanting to press my luck, I apprehended my paint cans and fled. I was halfway through turning the third wall light blue before I was forced to resort to the second gallon. The paint within appeared to be a brilliant orange.

“Well, that happens,” my hero informed me when I returned. “Some of these tints are unstable.”

Why am I sharing this story of woe and disillusionment toward the end of Pitchingpalooza, you ask? Because like this paint-monger, many a conference pitcher seems to believe, wrongly, that communicating his resentment about having to pitch at all will not fundamentally color his hearer’s perception of whether he knows what he is talking about. Judging by the tone and speed of many conference pitches, quite a few pitchers’ primary goal is just to get the agent or editor listening to it to decamp as swiftly as possible.

But we know better, right? Pop quiz: what’s the actual purpose of a conference pitch?

Help yourself to a gold star out of petty cash if you instantly shouted, “Why, to convince the agent or editor to ask to see pages!” But if your first instinct was to say, “Um, to survive my pitch meeting without dying of fright?” we need to talk.

Conference pitching was not invented by sadists in order to torture innocent writers, you know — in theory, it’s intended to save aspiring writers some time. Instead of having to proceed through a tedious and often protracted querying process that does not always result in requests for pages, a writer can approach several agents at a conference, present her book’s premise convincingly, and walk out with one or more materials requests.

But that doesn’t mean that the people hearing your pitch won’t notice if you appear to be hurried, hostile, or just plain petrified; how you present yourself and your book does matter. It’s okay to acknowledge that you’re nervous; it’s not okay to act as though the agent or editor harbors a grudge against writers in general and you in particular, simply because she asks what category would most comfortably fit your book.

Resentment of the process shows up beautifully within the context of a tense pitching appointment, and for good reason. Just as a query that begins Since agents like you have set yourself up as the gatekeepers of the publishing industry, I guess I have to go through you to get published is much less likely to succeed than on that introduces one’s book politely, a pitch accompanied by a bitter denunciation of the business that keeps the hearer shod, fed, and with a roof over her head is substantially less likely to engender a request to see pages than one that doesn’t.

Go figure. Remember, it’s human nature to prefer to work with upbeat, friendly people, rather than angry, sullen ones. A good agent will expect to have a lot of contact with his clients; you’re going to want to come across as easy to work with on a long-term basis.

You don’t have to smile constantly, naturally, or heap the agent with compliments on her attire. (“A blue suit — well, I can certainly see that you live in the fashion capital of North America.”) Just be pleasant, will ya?

I sense some disgruntlement out there. Go ahead, get it out — far better that you air it here than in a pitch meeting. “But Anne,” the annoyed many cry, “that’s not fair! I want my book to be judged on its writing and my great premise, not how likable I am.”

Seriously? If the agent of your dreams asks to see the first 50 pages of your manuscript, you’re going to quibble about why?

But okay, if you insist: logically, it is impossible for an agent or editor to assess anyone’s writing based upon a verbal pitch alone. The pro can glean quite a bit of information about whether he is likely to be a good fit for a particular book project from a pitch — the book’s category, for instance, or its target audience, the inherent excitement of its central conflict, whether the intended reader will sympathize with the protagonist’s dilemma — but if the only way that you will accept representation is if the agent reads your first two sentences and falls in love with your voice, pitching is not going to produce the outcome you want. Sorry to be the one to break it to you.

If, however, you are the kind of writer who approaches conference pitching as a means of leap-frogging over the query stage and straight to submission, it’s in your best interest to be as pleasant as possible. It will get your great premise a more hospitable hearing.

Is everyone clear on that? If not, please speak up; that’s what the comments section is for, people.

Remember, too, that in addition to maintaining a positive attitude, striving for clarity, rather than mere accuracy of description, will help you win friends for your book. Aspiring writers very, very frequently forget this, but the author is not the only one who is going to have to pitch any given book. Your agent will be pitching it to editors; the editor that picks it up will be pitching it to an editorial committee.

Indeed, it’s scarcely an exaggeration to say that one of the main points of conference pitching is to render pitching a book someone else’s responsibility. Making it pellucidly clear what your book is about will go a long way toward convincing an agent that it would be worth her time to take a gander at your pages.

Obviously, clarity of presentation is especially challenging for writers of multiple-protagonist novels. Earlier in this series, I went over a few reasons that it’s a better idea to pitch the overall story of a multiple-perspective book, rather than try to replicate the various protagonists’ personal story arcs or talk about voice choices. It tends to be substantially less confusing for the hearer this way, but there’s another very good reason not to overload the pitch with too much in-depth discussion of how the story is told, rather than what the story is.

So please, I implore you, do not open your pitch with, “My novel is a multi-perspective first-person narrative, alternating between the point of view of a color-blind house painter, a tone-deaf piano teacher, and a pianist who has entirely lost the sense of touch.” It’s not that these characters are uninteresting; your hearer will want to hear the story.

Don’t make that face at me, multiple perspective-lovers. Presumably, you chose the multiple POV narrative style because it fits the story you want to tell, not the other way around, right? That’s the writer’s job, figuring out the most effective means of telling the tale. That doesn’t change the fact that in order for an agent to sell the book to an editor, or the editor to take the book to committee, he’s going to have to be able to summarize the story.

That’s right — precisely the task all of you would-be pitchers out there have been resenting for a month now. And inveterate queriers have been resenting for years.

If the story comes across as too complex to be able to boil down into terms that the agent or editor will be able to use to convince others that this book is great, your pitch may raise some red flags. It really does behoove you, then, not to include every twist and turn of the storyline — or every point of view. If you get stuck about how to tell the overarching story of a book with multiple protagonists (or multiple storylines, for that matter), you could conceivably pick one or two of the protagonists and present his/her/their story/ies as the book, purely for pitching purposes.

Ooh, that suggestion generated some righteous indignation, didn’t it? “But Anne,” I hear some of you upright souls cry, “isn’t that misleading?”

Not really. Remember, the point of the pitch is not to distill the essence of the book: it is to convince the agent or editor to ask to read it.

No one on the other side of the pitching table seriously expects to learn everything about a book in a 2-minute speech, any more than he would from a synopsis. If it were possible, how much of a storyline could there possibly be? Why, in fact, would it take a whole book to tell it?

“But Anne,” the upright whimper, “I don’t want to lie. Won’t I get in trouble for implying that my book has only two protagonists when it in fact has twelve?”

Trust me, this strategy is not going to come back and bite you later, at least not enough to fret over. What makes me so sure of that? Frankly, it would require the memory banks of IBM’s Big Blue for a pitch-hearer to recall everything he heard over the average conference period.

Blame it on pitch fatigue. After an agent or editor has heard a hundred pitches at a conference this weekend, and two hundred the weekend after that, he’s not going to say when he receives your submission, “Hey! This has 4 more characters than the author told me it did!”

I know, I know: we all want to believe that our pitches are the exception to this — naturally, the agent of our dreams will remember every adjective choice and intake of breath from OUR pitches, as opposed to everyone else’s. But that, my dears, is writerly ego talking, the same ego that tries to insist that we must get our requested submissions out the door practically the instant the agent or editor’s request for them has entered our ears.

In practice, it just isn’t so.

And shouldn’t be, actually, in a business that rewards writing talent. Given the choice, it’s much, much better for you if the agent of your dreams remembers that the writing in your submission was brilliant than the details of what you said in your 10-minute meeting.

As to the question of being misleading…well, I’ll get back to the desirability of telling the truth, the whole truth, and nothing but the truth a little later in this post. For now, let’s move on to the next reader’s question.

Insightful long-term reader Janet wrote in some time ago to ask how to handle the rather common dilemma of the writer whose local conference occurs whilst she’s in mid-revision: “What do you do when you realize that you might have to change the structure of the novel?” she asked. “Pitch the old way?”

I hear this question all the time during conference season, Janet. The answer really goes back to the pervasive writerly belief I touched upon briefly above, the notion that an agent or editor is going to remember any given pitch in enough detail down the road to catch discrepancies between the pitch and the book. But realistically, they’re going to be too tired to recall every detail by the time they get on the plane to return to New York, much less a month or two from now, when they get around to reading your submission.

Stop deflating, ego — this isn’t about you. It’s about them.

At a conference, the average agent or editor might be hearing as many as hundred pitches per day. Multiply that by the number of days of the conference — and multiply THAT by the number of conferences a particular agent or editor attends in a season, not to mention the queries and submissions she sees on a daily basis, and then you can begin to understand just how difficult it would be to retain them all.

I hate to bruise anyone’s feelings, but now that you’ve done the math, I ask you: how likely is it that she’s going to retain the specifics of, say, pitch #472?

You shouldn’t fret about that, because — pull out your hymnals, long-term readers — the purpose of a book pitch is to get the agent or editor to ask to read it, not to buy the book sight unseen. Since that request generally comes within a few minutes of the writer’s uttering the pitch, if it’s going to come at all, what you need to do is wow ‘em in the moment.

Although it is nice, admittedly, if yours is the pitch that causes an agent to scrawl in her notes, “Great imagery!”

That’s why, in case you’ve been wondering, I’ve been harping so much throughout Pitchingpalooza about the desirability of including memorable details in your pitch. You have the pitch-hearer’s attention for only a few moments, and 9 times out of 10, she’s going to be tired during those moments. A vividly-rendered sensual detail or surprising situation that she’s never heard before is your best bet to wake her up.

Under the circumstances, that’s not an insignificant achievement. Don’t lessen your triumph by insisting that she be able to reproduce your pitch from memory six weeks hence — or that you need to get those requested materials to her before she forgets who you are. Accept that she may not remember you by the time she gets on the plane to go home from the conference, and take the time to whip your manuscript into shape before submission.

The upside of short memory spans: you don’t really need to worry if your story changes between the time you pitch or query it and when you submit the manuscript pages. That’s par for the course. Writers rewrite and restructure their books all the time; it’s not considered particularly sinister.

That being said, your best bet in the case of a book in the throes of change is to tell the story that you feel is the most compelling. If you haven’t yet begun restructuring, it will probably be the old one, as it’s the one with which you are presumably most familiar, but if you can make a good yarn out of the changes you envision, it’s perfectly legitimate to pitch that instead.

It honestly is up to you. As long as the story is a grabber, that is.

While we’re on the subject, let’s talk about the ethics of not mentioning those aspects of the book one is afraid might negatively influence a pitch-hearer’s view of the manuscript. The most popular proposed omissions: the book’s length and whether it is actually finished on the day of the pitching appointment.

Let me take the second one first, as it’s easier to answer. There is a tacit expectation, occasionally seen in print in conference guides, that a writer will not market a novel until she has a complete draft in hand, because it would not be possible for an agent to market a partial first novel. In fact, most pitching and querying guides will tell you that you should NEVER pitch an unfinished work.

Except that it isn’t quite that simple. Agented writers pitch half-finished work to their agents all the time, for instance.

Does that mean that you should? Well, it depends. It would most definitely be frowned-upon to pitch a half-finished book that might take a year or two to polish off — unless, of course, the book in question is nonfiction, in which case you’d be marketing it as a book proposal, not as an entire manuscript, anyway.

Let me repeat that, because it’s important: nonfiction books are typically sold on proposals, not the entire manuscript. Yes, even if it’s a memoir; although some agents do prefer to see a full draft from a previously unpublished writer, the vast majority of memoirs are still sold in proposal form.

So I ask you: could you realistically have your novel in apple-pie order within the next six months?

If so, that’s not an unheard-of lapse before submitting requested materials. And if you have a chapter of your memoir in terrific shape, could you pull a book proposal together within that timeframe? (For some guidance on what that might entail, please see the aptly-named HOW TO WRITE A BOOK PROPOSAL category on the archive list at the bottom right-hand side of this page.)

If the answers to all of those questions are a resounding “No, by gum!” you should consider holding off. Unless, of course, you’d just like to get in some pitching practice while the stakes are still low. But if you are pitching a novel just to get the hang of it (a marvelous idea, by the way), don’t make the mistake of saying that the manuscript isn’t done yet.

It’s considered rude. You’re supposed to have a fiction project completed before you pitch or query it, you know.

Confused? You’re not alone. Like so many of the orders barked at conference attendees, the expectation of market-readiness has mutated a bit in translation and over time. Take, for instance, the prevailing wisdom that maintains you should have a full draft before you pitch because an agent or editor who is interested will ask you for the entire thing on the spot.

As in they will fly into an insensate fury if you’re not carrying it with you at the pitch meeting.

But as I have mentioned earlier in this series, demanding to see a full or even partial manuscript on the spot doesn’t happen all that often anymore (and the insensate fury part never happened in the first place). 99.9% of the time, even an agent who is extremely excited about a project will prefer that you mail it — or e-mail it.

Seriously, she’s not in that great a hurry — and trust me, she’s not going to clear his schedule in anticipation of receiving your submission. I’ll bring this up again when I go over how to prep a submission packet (probably in September; I want to go over query basics first, so PLEASE, if you have pitched within the last few weeks and are impatient to send things off, read through the HOW TO PUT TOGETHER A SUBMISSION PACKET category before you drop anything in the mail) but I always advise my clients and students not to overnight anything to an agency or publishing house unless the receiving party is paying the postage.

Yes, even if an agent or editor asks you to overnight it.

I heard that horrified gasp out there, but the fact is, it’s a myth that overnighted manuscripts get read faster — yes, even if the agent asked you to send it instantly. That request is extremely rare, however; most submitters simply assume that they should get it there right away — or that their work will be seem more professional if it shows up in an overnight package.

That might have been true 20 years ago, when overnighting a manuscript would have been a rarity but here’s a news flash: FedEx and other overnight packaging is just too common to attract any special notice in a crowded mailroom these days.

If you’re worried about speed, Priority Mail (which gets from one location to another within the US in 2-3 days) is far cheaper — and if you write REQUESTED MATERIALS in great big letters on the outside of the package, might actually get opened sooner than that spiffy-looking overnight mail packet.

Besides, even if you did go to the trouble and expense to get your manuscript onto the requester’s desk within hours of the request, it can often be months before an agent reads a manuscript, as those of you who have submitted before already know.

Which means, in practical terms, that you need not send it right away. And that, potentially, means that a savvy writer could buy a little time that could conceivably be used for revision. Or even writing.

Catching my drift here? After all, if you’re going to mail it anyway…and the agent is going to be on vacation until after Labor Day…and if you could really get away with sending requested materials anytime between now and Christmas…and if the agent has asked for only the first three chapters…

Or, to put it in querying terms: if the agencies are going to take a month to respond to the letter…and then ask for the first 50 pages…and that has to get by a couple of screeners before they can possibly ask for the rest?

Starting to get the picture?

There’s no reason not to work those predictable delays into your pitching and querying timeline. Naturally, I would never advise anyone to pitch a book that isn’t essentially done, but let’s face it, it may well be months before the person sitting across the table from you in a pitch meeting asks to see the entire manuscript.

And you know what? You’re under no obligation to send it out instantly, even then. If you can get requested materials out the door within a few months, you should be fine.

Although I would not encourage any of you to join the 40% of writers who are asked to submit requested materials but never do, anyone who has ever written a novel can tell you that where writing is concerned, there is finished — as in when you’ve made it all the way through the story and typed the words THE END on the last page — and then there is done — as in when you stop tinkering with it.

Then there’s REALLY done, the point at which you have revised it so often that you have calculated the exact trajectory of the pen you will need to lob toward Manhattan to knock your agent or editor in the head hard enough to get him to stop asking for additional changes.

And then there’s REALLY, REALLY done, when your editor has changed your title for the last time and has stopped lobbying for you to transform the liberal librarian sister into a neo-conservative professional squash player who wrote speeches for Ronald Reagan in his spare time.

But frankly, from the point of view of the industry, no manuscript is truly finished until it is sitting on a shelf in Barnes & Noble. Until the cover is actually attached to the book, it is an inherently malleable thing.

The fact that everyone concerned is aware of this, I think, renders a bit of sophistry on the writer’s part over the question of whether a manuscript is completed somewhat pardonable.

This does NOT mean, however, that it is in your best interests to waltz into a pitch meeting and announce that the book isn’t finished yet — in a word, don’t. Because agents and editors are, as a group, perfectly aware that writers are prone to levels of tinkering that would make Dante’s inferno appear uncomplex, it’s actually not a question that gets asked much.

If you are asked? Sophistry, my dears, sophistry, of the type that agented and published writers employ all the time: “I’m not quite happy with it yet, but I’m very close.”

You are close to finishing it, aren’t you? And you aren’t completely happy about every syllable of the current text, right?

The question of whether to mention manuscript length is a bit more tortured, as it tends to generate a stronger knee-jerk response in pitches and query letters than the question of submission timing. Or so I surmise, from the response to the inevitable moment at every writers’ conference I have ever attended when some stalwart soul stands up and asks how long a book is too long.

Without fail, half the room gasps at the response.

I hesitate to give limits, for fear of triggering precisely the type of literalist angst I deplored a couple of days ago, but here are a few ballpark estimates. Currently, first novels tend to run in the 65,000 – 100,000 word range — or, to put it another way, roughly 250 – 400 pages. (That’s estimated word count, by the way, 250 x # of pages in Times New Roman, standard format. For the hows and whys of estimation vs. actual word count, please see the WORD COUNT category at right.) Standards do vary a bit by genre, though — check the recent offerings in your area to get a general sense.

If your book runs much over 400 pages, be prepared for some unconscious flinching when you mention the length. Or just don’t mention the length in your pitch; it’s not a required element.

And remember, these are general guidelines, not absolute prohibitions. Few agency screeners will toss out a book if it contains a page 401. Do be aware, though, that after a book inches over the 125,000 word mark (500 pages, more or less), it does become substantially more expensive to bind and print. (For more on this point, please see the rather extensive exchange in the comment section of a past post.)

If at all possible, then, you will want to stay under that benchmark. If you have not, don’t mention the length in your pitch or query.

Not just for marketing reasons, or at any rate not merely to preclude the possibility of an instinctive response to a book’s length. If a manuscript is too long (or too short, but that is rarer since the advent of the computer), folks in the industry often have the same response as they do to a manuscript that’s not in standard format: they assume that the writer isn’t familiar with the prevailing norms.

And that, unfortunately, usually translates into the submission’s being taken less seriously — and often, the pitch or query as well.

If your book is over or under the expected estimated length for your genre, you will probably be happier if you do not volunteer length information in either your pitch or your query. This is not dishonest — neither a pitcher nor a querier is under any actual obligation to state the length of the manuscript up front.

I’m not recommending that you actually lie in response to a direct question, of course — but if the question is not asked, it will not behoove you to offer the information. Remember, part of the art of the pitch involves knowing when to shut your trap. You will not, after all, be hooked up to a lie detector throughout the course of your pitch.

Although that would be an interesting intimidation strategy, one I have not yet seen tried on the conference circuit. Given the current level of distrust aimed at memoirists these days, I wouldn’t be at all surprised to see it come into fashion.

Yes, I know: many experts will tell you that you MUST include word count in your query, but as far as I know, no major agency has a policy requiring Millicent to reject queries where it’s not mentioned. Some agents will say they like to see it, for the simple reason that it makes it easier to weed out the longest and the shortest manuscripts — but if your book would fall into either of those categories, is it really in your interest to promote a knee-jerk rejection?

I’ll answer that one for you: no, it isn’t. For any reason.

SOIA, part VII: when it’s been a REALLY long time since the request

So please ransack your writing notebooks for those great, soul-supporting quotes, people! Let’s get a really good haul, so I can share the best with you in a post here — because, really, couldn’t every writer use a bit of cheering up from time to time?

Are your brains still buzzing from the implications of my last post, where I invited all of you out there to help me diagnose a SIOA (Send It Out, Already!) problem? No sooner had I finished typing the last syllable of that post when the nagging little voice in the ether that all serious bloggers associate with their reading public started to niggle at me.

“Okay, so now they can spot SIOA-avoidance in the wild,” that ever-dissatisfied opinion-giver conceded. “You even slipped in that homily about the reasonableness of expecting an agent who hasn’t heard from a writer for a couple of years to drop everything to read requested materials once they do arrive, purely so the reformed SIOA-avoider will not have to wait too long to hear back, along with your perennial saw about the advisability of continuing to query and submit to other agents during the consideration period. But beyond that, you left ‘em hanging. How precisely is a writer fresh from doing battle with SIOA-avoidance to approach a long put-off agent?”

Funny you should ask that, Disembodied Voice. Clever and incisive reader Joon posted a practical question on the subject just the other day. Quoth Joon:

I am afraid this particular series was written with me in mind (though, with your prodding, I am sending my pages out this week – whee! – so hopefully not for much longer). I have a question about extensive time passed. I know you’re a busy person, but if you have time to answer it or to touch upon it in the continuation of your SIOA series, it would really help me (and probably others who’ve helped put the Pro in Procrastination).

Back when I was a real newbie, I submitted the first 20 pages of my first novel for critique at the SCBWI conference where it was read by Stephanie Meyer’s agent (!!!). She told me she loved it, nominated it for a conference award, and wanted to see the rest of it. Problem was, she’d read almost all of it that was presently to be had (yes, I now know it was really unprofessional to submit something that wasn’t essentially ready to go. No, I would never do such a thing again. Yes, I know editors and agents hate people like me. Mea culpa!). I confessed as much and she said she still wanted to read it, in any amount or condition, as soon as I had written more. She gave me her e-mail address and a code word to put in the subject heading, and asked me (against her agency’s submission guidelines) to e-mail it to her. I went home with a will and got back to work.

It took three years!

My question is not whether to send it (you’ve amply answered that), but how? Has too much time passed for me to use the secret e-mail? Should I go back to the end of the line and send in a query as though we’d never met? Should I not send it to this agent at all (and let that be a lesson to me)? And should I still reference the fact that we met at this long distant conference?
I want to break away from my prior SIOA folly, but I’d like to take advantage of my chance to snag the AOMD if I haven’t already bungled it too badly.

Any advice?

This is an excellent question, Joon — and I love the line about putting the Pro in Procrastination so much that I almost lifted it for the title of this post. And I think you’re dead right (to continue the Stephanie Meyers theme) about this being an issue that dogs other writers; in my experience, SIOA-avoiders are legion.

First, congratulations on being brave enough to pitch your work that early in your writing process. Some writing coaches might castigate you for this — as you have learned since, the assumption at any fiction pitch meeting (or with any query for a novel, for that matter), the ambient assumption is that a manuscript will be at least in first full time before the writer approaches an agent with it — but since verbal pitching is so tough, I think it’s not a bad idea to take a practice run at it first. That way, when the book is done, the writer already has some experience pitching it before the stakes go sky-high.

That’s the theory, anyway. In practice, however, early pitchers who are good at it can run into the same problem Joon did: receiving a request for materials that one is in no position to fulfill anytime soon. This is why, in case anyone was curious, I generally advise members of the Author! Author! community that a good compromise between getting in that practice and avoiding panic is not to pitch a novel until it’s within a year of completion.

I can sense those of you raring to go chafing at that a little, so let’s take a moment to talk about why agents and editors from small presses — i.e., the folks to whom one can pitch productively at writers’ conferences — have such a strong and universal preference for fiction to be in completed form before aspiring writers approach them with it. (Agented and published writers approach their agents with ideas-in-progress all the time, of course, but that’s a subject for another post.) And it may surprise some of you to hear that, unusually for the submission process, the primary answer to this question is not because that’s not how it’s done.

That’s the secondary reason. The main one: because no agent, however talented, can say for sure what kinds of manuscripts will be in demand at publishing houses years from now; in order to do her job well, an agent has to be conversant with what editors want to acquire NOW.

Did that cause the hearts of multi-year SIOA-avoiders to skip a beat? Especially those whose dream agents were, like Joon’s, terrifically excited three years ago about the book project in question? As in before the radical contraction of the literary market?

I’d like to set your minds at ease here, but that little flash of panic was completely rational: what an agent can and cannot sell changes all the time, and sometimes very rapidly. So it’s only reasonable to expect that what an agent will wax enthusiastic over at a conference would differ annually.

Fortunately for Joon, Stephanie Meyers’ work continues to sell very well indeed, so it’s highly likely that Ms. Meyers’ agent will still be looking for similar work. Fingers crossed that what you write is similar, Joon!

More points in favor of her still being interested: she’s read some of your work and liked it. That’s a significant advantage of a conference where pitch-hearers agree to read a writing sample first, by the way. (Double-check before you sign up, and don’t be afraid to e-mail conference organizers to ask a few questions not covered on the conference’s website. Even at conferences where pitches are cold, there are often intensive courses for an extra fee where a pro will go over at least a few pages with you — and if the pro is good, the extra fee is often well worth it. Such intensives tend to fill up early, though.)

I see a few hands raised out there. “But Anne,” some sharp-eyed readers point out, and who could blame them? “I thought you were saying that agents prefer fully-written (and edited) novels at pitching and/or querying time. Yet Joon was able to impress this agent with writing sample. So doesn’t that mean that you’re, you know, wrong, and we should all be pitching our ideas as soon as the muses stuff them into our busy minds?”

No, it doesn’t, and for a very fine reason: because that’s not the way it’s done.

You knew the brief break from that one was too good to last, didn’t you? The industry expectation is that fiction will be fully drafted before it’s pitched or queried — nonfiction, including memoir, is different, since that is generally sold on a book proposal, not an entire manuscript — and not merely because a partial look at an incomplete manuscript forces an agent to guess what the market will be like by the time the book reaches complete first draft form. A brief excerpt, no matter how beautifully-written or how good the premise, is not an infallible indicator of how well put-together the eventual novel will be.

That made those of you who have entered partials in novel competitions do a double-take, didn’t it? Yet it’s true: even the most careful perusal of the first 50 pages (or less, usually, for a contest) will not necessarily provide conclusive evidence that a writer can structure an entire novel convincingly. There are plenty of perfectly wonderful short story writers, after all, who don’t know how to sustain a plot over 350 pages.

Which is why, should any of you have been wondering agents who represent fiction virtually never make an offer based upon a partial. Contrary to pervasive rumor on the writers’ conference circuit, they honestly do need to read the manuscript first.

Thus, SIOA-avoiders are quite right to feel some trepidation about sending out long-delayed requested pages. However, Joon did something very smart here: communicated with the agent about it during the delay.

What was that everyone’s second grade teacher said about honesty being the best policy? It’s as true in early interactions with an agent as anywhere else — provided, of course, that the impulse toward honesty doesn’t result in a mountain of extraneous e-mails, letters, or (heaven help us) telephone calls. As we discussed just the other day, a single, simple, polite, professional missive will generally do the trick without giving the agent the sense that you’re going to be bugging her every fifteen minutes for the rest of her life.

Again, in case you were wondering: that’s the very last impression you want her to have of you. Clients who need a whole lot of hand-holding tend to be turn-offs.

So actually, Joon, it sounds like you’ve handled a genuinely awkward situation quite well so far. Certainly too well to have generated any basis for resentment on the agency end — and that’s something I’m quite happy to hear. Some SIOA-avoiders devote way, way, WAY too much of energies they should be gearing toward their submissions toward trying to keep confirming that the agent in question remains interested.

To drive home that last point, I’m going to veer away from Joon’s dilemma for a moment to share one of the many anonymous missives I have received over the years from a SIOA-avoider who was, well, not quite so strategic. Quoth Delaying Writer (as the nimble-brained among you may have already guessed, all names here changed to protect the participants):

HELP! How do I approach an agent I’ve already insulted by not having sent the chapter she asked me for a long time ago?

When I pitched my novel last year at the Conference-That-Shall-Remain-Nameless, Loretta Lovable was incredibly nice to me, totally psyched about my book and I really did mean to get the chapter out to her before the end of the summer. But then it was Labor Day, then Christmas…well you know how these things go. And now I have an appointment to pitch to her again at this year’s conference. We really clicked before, so I’m terrified.

Please don’t yell at me if this is a stupid question, but would it be okay if I just walked into our meeting and pretended that I’d never met her before? I’m afraid she’ll think I’m an idiot if I walk in and throw myself on her mercy.

Quite a sad story, isn’t it? I’m bravely pushing aside my temptation to go on and on about the sheer number of e-mails and blog comments I receive during conference season that contain the word HELP to ask all of you: how do you think Delaying Writer should handle this touchy situation?

Before I weigh in, let’s run through all of DW’s options, not just the ones she is weighing. She could conceivably:

(a) obey her instincts, keep the pitch appointment, and hope that Loretta Lovable is either too nice or too forgetful to mention that she’s heard this pitch before;

(b) bite the bullet, keep the pitch appointment, and confess that she pitched too soon the previous year, in the hope that LL will tell her to go ahead and send it now;

(c) cancel the pitch appointment and just send the materials now with a nice note, hedging her bets by pitching to another few agents at this year’s conference;

(d) cancel the appointment, either to pitch to other agents or not, but make a point of buttonholing LL at the conference to explain what happened?

(e) send LL a query letter now, explaining what happened and asking if she’s still interested in reading the now-completed work?

(f) write off LL entirely and forever, and just move on, even though LL is DW’s dream agent.

Okay, so none of these possibilities is particularly appetizing, nor would any of them be particularly easy to pull off without feeling a bit chump-like. What would you do in DW’s place?

If you chose (f), I hate to tell you this, but you’re thinking like a SOIA-avoider. For this option to make sense to pursue, the possibility of offending LL by getting back to her later than anticipated has to outweigh any other consideration. Or — and this is even more common reasoning — the writer would have to assume that the only possible outcome from approaching LL again would be rejection.

But those of us who have worked our way through this series know better than that, don’t we? Don’t we?

If you said (a), you at least have no illusions to shatter about how well agents being pitched at by 150 eager aspiring authors at a conference a year ago is likely to remember even one whose pitch she really, really liked. However, this strategy could easily backfire: if LL does recall either the book concept or DW, this is not going to end well.

(b), (d), and (e) are actually three different versions of the same strategy: apologize and ask again for permission to send the materials. While this is unquestionably polite, it’s also a bit of a waste of LL’s time. Why should she have to give consent twice for the same set of pages, especially since the only reason she might conceivably need to do so was that DW responded to her initial request slowly?

If you selected (c), give yourself a gold star for the day — you’ve either been paying very close attention throughout the SIOA series, are unusually confident for a writer (we tend to be a timid lot), and/or have been reading this blog long enough that you have a pretty good idea of the advice I tend to give. (c) maximizes DW’s possibilities for finding an agent for her book without either impinging unnecessarily upon LL’s time or wasting a pitch session by repeating it.

In short, the answer is SIOA! And at the same time, move on, DW.

Of course, should DW happen find herself sitting next to LL at a luncheon, there’s no reason to avoid talking about their past connection, but let it be in positive terms, and brief: “Oh, how nice to see you again, Loretta — the pages you requested last year are already printed out and on my desk, ready to be sent off to you. Sorry about the delay, but I got caught up in a revision that was more complicated than I anticipated. I’m really happy with the results, though. So, what’s your favorite client project right now?”

Quick, simple, grovel-free. And, perhaps most importantly, it doesn’t give LL an easy opening to say, “Gee, I’m not representing that kind of work anymore.” (Naturally, DW should check that she still does take on your book category, but there’s no reason to try LL’s patient by bearding her about it in person. Most of the time, that info is easily available on the agency’s website, in the latest edition of one of the standard agency guides, or oftentimes by being a good listener at the agents’ forum held at most literary conferences.

Do I hear some harrumphing out there? “Easy for you to say, Anne,” a few inveterate SIOA-avoiders protest, their manuscripts folded tightly to their tense chests, “because you’re assuming that Loretta will not be annoyed about the time lapse. But how can DW be sure about that — or Joon, for that matter? If either of these agents have been waiting long enough to get irritated, what’s the point of their submitting at all, at this point?”

Ah, you’re falling into option (f)-think, again, harrumphers, classic SIOA-avoidance logic, and expressing it in a form that conference-going agents do occasionally report finding grating: the oh-so-common writerly assumption that — how to put this as gently as humanly possible? — each of our situations is both absolutely unique and utterly memorable to virtual strangers. Because, you see, unless an aspiring writer believes in both, the assumption that a requesting agent would care enough (or even think enough) about a project he heard pitched or saw queried a year ago to become actually angry about it…well, let’s just say that it doesn’t make any sense. Think about it: from the perspective of someone who receives in the neighborhood of 800-1200 queries per week, attends perhaps three conferences per year, and hears hundreds of verbal pitchers, why would any of those thousands of individual approachers expect to be the single one for which the agent has been waiting?

The fact that aspiring writers do indeed believe that the agents whom they pitch and query are sitting around for months or even years on end, angrily twiddling their thumbs and wondering why a particular requested manuscript hasn’t shown up yet, and address agents accordingly is one major contributor to the widespread belief amongst agent that all writers are born great, big egos. In case anyone was wondering.

That particular misapprehension saddens me, because in my experience, the opposite is usually true: writers, aspiring and established both, are more apt to be insecure than otherwise. DW’s instinct to double-check with LL about sending the requested materials was probably the result of wanting reassurance. Unfortunately, agents aren’t really in the reassurance biz.

As those of us who have agents already know to our grave disappointment. But that’s a subject for another post.

Right now, let’s focus on the kind of cover letter that will help Joon, DW, and SIOA-avoiders like them pull off delayed submitting with aplomb. Given DW’s quite limited earlier contact with LL, I would opt for keeping it almost as simple as their lunch conversation:

Dear Ms. Lovable, (at this point, they’re certainly not on a first-name basis, right?)

Thank you so much for asking to see the first chapter of my women’s fiction book, LOST IN LOVE WITHOUT A WRISTWATCH. I enjoyed speaking with you about it at last year’s Conference That Shall Not Be Named.

Please excuse the delay in my getting these pages to you — after the conference, I got rather carried away in the revision process. I hope you enjoy the result.

Thank you for your time in considering these pages. I look forward to hearing from you soon.

See? Professional, elegant, yet adequately explanatory — and all ready to be popped into an envelope or attached to an e-mail with REQUESTED MATERIALS written on the outside of the envelope or in the subject line.

Everyone comfortable with that?

Joon’s situation is a trifle more complex, both because more time has passed and because there was more interaction with the agent previously. However, the basic principles here are the same. But while we’re at it, why not sweeten the missive with a bit of flattery?

Dear Ms. Great Big Agent,

Thank you so much for asking to see the full manuscript of my novel, THE NEXT BIG YA SENSATION. Please find it attached.

Thank you, too, for your great patience in my getting these pages to you. As you may recall from when I pitched it to you at the SCBWI conference some time ago, I had not yet completed the novel at the time. After we spoke, one of your suggestions so took wing in my mind that I wanted to flesh it out on the page before submitting this. Obviously, I hope you enjoy the result, but either way, you decide, I cannot thank you enough for the great advice.

Hard to quibble with a compliment like that — I’ve never met a working agent who didn’t wish her clients took her writing suggestions a bit more seriously. Having established that here at last is a writer who is both charming and grateful, all Joon has to do plop that code into the subject line, and SIOA! (And, of course, thank me in the acknowledgments when the book comes out.)

One last raised paw, then time to go indeed. “But Anne, I notice that you have not mentioned the amount of time that’s passed since the initial request for pages. That doesn’t seem very honest. Won’t the respective agents want to know how long it’s been?”

Um — why? So they can get annoyed about it now?

That’s a serious set of questions: what possible purpose could it serve to call the agents’ attention to the specific length of the delay? There’s honest, and then there’s selectively revelatory. Everything in both of these missives is factually accurate, isn’t it? (Okay, so I made up that stuff about it taking a long time to incorporate the agent’s suggestion. Plausible, though, isn’t it?) And if either agent remembers the initial requests, she will already know how long it’s been, won’t she?

Remember, this is a professional relationship, not a personal one: both the writer and the agent are hoping to make some money out of this interaction. Even the most inveterate SIOA-avoider hasn’t let the requesting agent down personally, after all.
So approaching an agent who has requested manuscript pages, even after a long delay, should be done in a professional spirit.

But whatever you do, SIOA. Yes, the agent of your dreams may reject it, but you won’t know for sure unless you try, will you?
